Our District:
The Sultan School District is one of the larger geographical school districts in the Puget Sound area, consisting of approximately 325 square miles. Sultan School District has approximately 2,000 students enrolled K-12. Students are currently served by two elementary schools, a middle school, a high school and an alternative high school; and the Sno-Isle Skills Center, a cooperative vocational technical school.
Our Community:
Located northeast of Seattle (seven miles east of Monroe) or about 20 minutes from the Woodinville area, Sultan is surrounded by a beautiful environmental setting. Our “backyard” is the scenic Skykomish River and Cascade Mountains. Sultan School District includes the community of Sultan, Startup, and Gold Bar. Students from Index attend Sultan High School.

The Fiscal Specialist is responsible for assisting the Executive Director of Finance in maintaining, monitoring, and reporting of statistical data; communicating with and providing customer service to staff and outside agencies or vendors to meet district needs; preparing and processing a variety of documents, orders, etc.; processing a variety of district, state, or federal documents and reports; and inputting of data into computer. Assist the directors with day-to-day operations of the Fiscal department.
Essential Functions:
- Function as a team player, a positive motivator of colleagues and staff, and be self-motivated.
- Assist with ongoing maintenance of Skyward/Qmlativ Fiscal System that stores financial data that allows the district to use the data for record keeping, reporting, payroll, budgeting, etc.
- Explain documents and requirements and answer procedural inquiries
- Assist Child Nutrition department with annual application processing and monthly claiming of meals served
- Perform data entry, word processing, spreadsheet, and database functions
- Create, maintain, and retrieve information from Skyward/Qmlativ and other databases
- Assist with creating and maintaining department forms and webpages
- Create and maintain a variety of files (computer and hard copy, including confidential files) to ensure accurate, up-to-date information is available
- Prepare and process various district documents including correspondence, memos, reports, etc. to provide information to the Executive Director of Finance
- Assist in preparing and processing various district documents to meet district, state, and/or federal regulations
- Assist with various fiscal projects
- Responsible for Accounts Payable and Purchasing
- Responsible for District ASB account supervision
- Input various data into computer systems to meet district, state, and federal regulations
- Attend and/or assist in scheduling meetings and trainings as required
- Provide support for Fiscal & Child Nutrition departments
- Perform related duties as assigned
Essential Skills and Requirements:

- Working knowledge of district-adopted software including Microsoft Office Suite, Skyward/Qmlativ, and PowerSchool
- Ability to operate a variety of office machines
- Ability to read and interpret specific rules and laws and apply them with good judgment in a variety of procedural situations
- Ability to handle confidential matters and information in a professional manner
- Ability to work in an atmosphere where interruptions occur frequently, and priorities are often modified using a high degree of flexibility
- Ability to maintain high standards of professionalism and diplomacy in dealing with the public and district staff

Special Requirements:
- High school diploma or equivalent
- 3 years of progressively-responsible experience or an equivalent combination of education and experience
- Proficiency using PC computer and experience with current Microsoft Office software
- Valid Washington State driver’s license or evidence of mobility
- Successful Washington State Patrol and Federal Bureau of Investigation Fingerprint Clearance
- I-9 Employment Eligibility in compliance with the Immigrations Reform and Control Act
- HIV/HBV Training (obtain within 30 days of hire date – district provided)
- Completion of mandatory Safe Schools Trainings.
Work Environment:
The work environment characteristics described are representative of those an employee encounters while performing the essential functions of this job. This is an office job. The employee is confined to a work area; required to have precise control of fingers and hand movements; experiences constant interruptions and inflexible deadlines; must be able to work at a computer monitor for prolonged periods; and must be able to crouch, crawl, bend, kneel, and lift/move objects such as files, boxes, etc. The employee is required to deal with distraught and/or angry persons and is exposed to infectious diseases carried by children. The noise level in the work environment is acceptable to this particular environment and can vary depending upon daily activity but will remain within acceptable ranges.
Evaluation:
The Fiscal Specialist shall be evaluated periodically by the Executive Director of Finance pursuant to the currently established district procedures and evaluation criteria. The process shall include an evaluation of the performance of the above essential job functions.
