About Us
Display Fabrication Group is a leading trade show and event services company dedicated to delivering exceptional projects and experiences. We are seeking a highly organized and motivated Administrative Assistant to support our team and help ensure the successful planning and execution of trade shows and events.
Position Summary
The Administrative Assistant will provide administrative and operational support to management, accounting, and project management. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
· Manage office operations by ordering supplies, coordinating travel arrangements, scheduling meetings, maintaining records, and providing administrative support to staff and management
· Enter financial data into accounting software and spreadsheets
· Communicate and follow up with team members on outstanding tasks on a daily basis
· Requests quotes from vendors, and complete sale purchases
· Accurately enter high volume of data with minimal errors
· Communicate with vendors, customers, and team members regarding accounting matters
· Coordinate travel arrangements, including booking flights, hotels, transportation, and preparing travel itineraries and documentation
· Maintain travel records and process travel expenses and reimbursements
· Process accounts payable and accounts receivable transactions while maintaining accurate financial records
· Availability to work OT and weekends. Mandatory when needed.
Education and/or Work Experience Requirements:
· Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
· Attention to detail
· Excellent computer proficiency (MS Office – Word, Excel and Outlook)
· Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
· Ability to follow directions and take initiative when needed
· Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
· Bachelor’s degree from an accredited university
· Experience with QuickBooks (minimum of 1 year)
· Accounts payable and accounts receivable experience preferred
· General knowledge of accounting practices

Pay: $26.00 - $28.00 per hour
