Essential Duties And Responsibilities
Department Leadership & Oversight
- Provide executive-level leadership, direction, and accountability for all admissions functions.
- Directly supervise the Admissions Manager and provide indirect supervision across admissions coordinators, verification specialists, and support staff.
- Establish short- and long-term departmental goals, KPIs, and performance benchmarks.
- Develop and implement scalable systems, workflows, and quality standards to support multi-site expansion and increased call volume.
- Lead strategic initiatives to improve conversion rates, client engagement, and overall admissions efficiency.
- Evaluate market trends, referral patterns, competitor positioning, and operational data to inform organizational admissions strategy.
- Partner with marketing and outreach leadership to align campaigns, messaging, and referral pipelines with admissions capacity and clinical programming.
- Identify opportunities for new processes, technology enhancements, and operational improvements to advance departmental effectiveness.
- Oversee the full lifecycle of the admissions process to ensure accuracy, compassion, and regulatory compliance across all interactions.
- Ensure department-wide adherence to HIPAA, ethical standards, legal requirements, and organizational policies.
- Monitor and resolve escalated cases, sensitive client situations, or high-risk admissions decisions.
- Ensure appropriate staffing levels, scheduling coverage, and on-call support across 7-day operations.
- Work closely with verification, billing, UR, and clinical teams to ensure readiness for intake and accurate insurance/benefit processing.
- Coordinate with clinical directors to maintain current knowledge of program availability, clinical criteria, and treatment pathways.
- Serve as a senior liaison between admissions and executive leadership, ensuring transparent communication and alignment across departments.
- Analyze admissions data, call metrics, conversion trends, and team performance dashboards to guide decision-making.
- Provide regular reports, projections, and insights to the VP of Admissions and executive team.
- Conduct audits of documentation, workflows, client interactions, and compliance processes to ensure excellence and consistency.
- Lead initiatives to cultivate a high-performing, mission-driven admissions culture rooted in empathy, accountability, and professional growth.
- Develop leadership capabilities within the admissions management structure, including mentoring the Admissions Manager.
- Oversee recruitment, development, retention strategies, and performance evaluations for admissions leadership and staff.

- Bachelor’s degree in healthcare administration, psychology, social services, business, or related field required; master’s degree preferred.
- 5–7 years of admissions, intake, or healthcare management experience, preferably in behavioral health or addiction treatment.
- 3 years of leadership experience overseeing teams or departmental operations at a managerial or director level.
- Demonstrated expertise in CRM/EMR systems, insurance verification processes, and behavioral health program admissions.
- Strong strategic planning, analytical, and leadership capabilities.
- Exceptional interpersonal, communication, and conflict-resolution skills.
