Sales Coordinator 1 (Full-Time)

Position Description:  

The Sales Coordinator is responsible for managing birthday party reservations, assisting with event execution, and driving sales for birthday experiences. This role provides exceptional customer service to visitors, processes event reservations, and supports the Events Department in administrative and sales functions. The Coordinator will play a key role in increasing revenue through birthday party and event rental sales while ensuring a seamless experience for all clients.

Job Responsibilities:  

Customer Service & Sales  

  • Serve as the primary point of contact for birthday experiences and event rental inquiries via phone, email, and in-person visits.  

  • Guide potential clients through available event packages, schedule museum tours, and provide personalized recommendations.  

  • Actively market and promote birthday and rental experiences, driving revenue growth through sales efforts.  

  • Provide information on museum membership programs and related discounts.  

Reservations & Administrative Support  

  • Maintain accurate and up-to-date records of event reservations, payments, and schedules.  

  • Process payments (cash, check, credit card) and track daily revenue reports.  

  • Manage and respond to inquiries in the shared event rental and birthday email inboxes.  

  • Maintain and update rental and birthday calendars to ensure clear communication across departments.  

  • Assist in generating new rental leads through outreach, written communication, and on-site visits.  

Event Execution & Vendor Coordination  

  • Support on-site execution of birthday experiences and rentals to ensure high-quality events.  

  • Maintain vendor relationships, process orders, and track payments.  

  • Ensure event spaces are prepared and assist with event setup and breakdown as needed.  

  • Provide assistance to the Visitor Services team when necessary.  

Operational Responsibilities  

  • Maintain office supplies inventory and coordinate with vendors for replenishment.  

  • Operate and troubleshoot office equipment, including copiers, telephones, and postage meters.  

  • Maintain proficiency in Microsoft Suite, Canva, and TAM (CRM system).  

Other Responsibilities:  

Maintains a high level of professionalism in performing assigned duties and responsibilities.   

  • Bring positive recognition to DISCOVERY Children’s Museum’s brand through professionalism, enthusiastic attitude and effective communication;   

  • Adheres to ethical principles in all business dealings;   

  • Establishes and adjusts priorities to maintain efficient work flow;   

  • Supports the function and activities of the department and meets all deadlines;   

  • Accepts directives with enthusiasm and commitment;   

  • Supports the Corporate Mission and Corporate Vision and adheres to all work rules, policies, and procedures;   

  • Maintains confidentiality of employee, donor, prospect, vendor/supplier and other corporate records;   

  • Demonstrates a considerate, friendly and constructive attitude toward fellow team members.   

  • Treats visitors in a courteous, respectful manner at all times.    

Experience/Qualifications:  

  • Experience: Minimum 1 year in a sales, reservationist, administrative assistant, or customer service role.  

  • Skills:  

  • Strong communication and interpersonal skills.  

  • Excellent attention to detail and organizational abilities.  

  • Ability to multitask in a fast-paced, high-performance environment.  

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).  

  • Familiarity with CRM software (Altru preferred) and Canva is a plus.  

  • Work Ethic: Professionalism, punctuality, and a self-starter attitude are essential.  

  • Physical Requirements: Ability to lift up to 50 lbs., sit, bend, walk, and stand for extended periods. Comfortable working at a computer and using a headset for several hours.  

Hourly Rate:  

$16.00 - $17.00/hr

Schedule:   

  • Monday & Tuesday: OFF  

  • Wednesday - Saturday: 9:00 AM – 5:00 PM  

  • Sunday: 12:00 PM – 5:00 PM  

  • Must be available to work flexible hours, including weekends and occasional evenings as needed. Schedule is subject to change with notice based on event schedule.
