Core Department Support
• Provide administrative, operational, and coordination support for Discover Long Island’s sales and marketing departments.
• Coordinate meetings, schedules, materials, notes, reports, and general department workflow.
• Maintain organized digital files, contracts, presentations, collateral, invoices, and supporting documentation.
• Process purchase orders, invoices, billing reconciliation, budget tracking, and spreadsheets.
• Support communication and follow-up with vendors, partners, clients, and stakeholders.
• Track projects, deadlines, approvals, and deliverables across departments.
• Assist with reports, presentations, recaps, and internal materials.
• Support trade shows, events, activations, hosted programs, and department initiatives as needed.
• Provide operational support during staff travel and high-volume periods.
Marketing Support Responsibilities
• Support paid media campaigns, promotional initiatives, and brand partnerships across digital, social, broadcast, print, and related channels.
• Assist with campaign coordination, asset organization, approvals, vendor deliverables, and reporting documentation.
• Organize media proposals, insertion orders, contracts, and campaign materials.
• Assist with marketing communications, social media, website updates, and promotional support as assigned.
Sales Support Responsibilities
• Support sales initiatives including trade shows, sales missions, webinars, FAM tours, networking events, and hosted programs.
• Utilize CRM systems, Cvent Planner Navigator, and sales databases to manage leads, records, research, and follow-up.
• Assist with itineraries, presentations, proposals, and sales collateral for meetings, conventions, sports, and group travel opportunities.
• Assist with sales newsletters, prospect communications, and partner outreach through platforms such as Mailchimp.
• Track lead activity, proposal timelines, and partner responses.
• Attend industry events and partner meetings as required to support relationship development.
