JOB SUMMARY
(This role is a Construction type Project role NOT an IT Project role.)
The Project Administrator role supports the successful execution of Base International’s operational and project activities by assisting field management team with planning, logistics, contractor relations, coordination, documentation, reporting, communication, and information flow. Candidates with Construction Industry experience extremely helpful.
Working under the guidance of senior project/site management staff, the Project Administrator helps coordinate schedules, maintain project documentation, track task/project progress, materials tracking, and support communication between internal teams, subcontractors, and leadership. This role is well-suited for a career professional that already has a solid 3-4 years of project/logistics experience and is seeking to further develop project management skills in a fast-paced, operations-focused environment.
CORE RESPONSIBILITIES
Project Coordination & Administrative Support
- Assist project managers with day-to-day coordination of project activities
- Maintain project documentation, files, logs, and reports
- Track project schedules, task lists, and action items
- Support preparation of status reports and internal updates
- Assist with organizing project plans, schedules, and deliverables
Scheduling & Logistics Support
- Help coordinate meetings, briefings, and project communications
- Assist with tracking materials, equipment requests, deliveries, invoices
- Support coordination between field teams, vendors, and headquarters
- Maintain updated contact lists and project communication records
Team & Stakeholder Communication
- Serve as a point of contact for routine project-related inquiries
- Communicate updates to internal team members as directed
- Escalate issues, delays, or risks to project managers for review
- Support client or partner communications through prepared documentation
Compliance, Reporting & Documentation
- Assist with ensuring documentation aligns with project requirements
- Support data entry and reporting in project management systems
- Help track compliance items such as forms, inspections, or deliverables
- Maintain organized records for audits or project closeout
Other Duties
- Perform additional project support tasks as assigned
QUALIFICATIONS
Required
- 3-4 solid years of experience in a construction administrative, or operational support role
- Associate's degree in Business Administration, Project Administrative, Operations, or a related field
- Experience supporting federal government contracts
- Construction industry experience preferred
- Strong analytical and administrative skillsets
- Basic understanding of project workflows, schedules, and deliverables
- Strong organizational skills with attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Familiarity with project management or tracking tools (e.g., Smartsheet, Asana, MS Project, or similar)
- Ability to work collaboratively in a fast-paced team environment
- Clear written and verbal communication skills
- Must be able to adhere to confidentiality requirements
- Must be a team-player and ability to work with others
- Must be authorized to work in the U.S
- Must be able to have satisfactory background check results and drug test
- Exposure to operational, logistics, or field-support environments
- Experience supporting multiple projects simultaneously
- Experience working with vendors or subcontractors in a support capacity
WORK CONDITIONS
- Field Office-based work environment
- Standard business hours with some flexibility to work overtime hours especially during critical project phases
