The company recently relocated its U.S. headquarters from Florida to Baltimore, Maryland, where its new warehouse facility is also based.
Position Overview
We are seeking a highly organized and proactive Customer Support & Administrative Assistant to join our team. This role will be based in Baltimore, with required flexibility to work from either the Main Office or the warehouse, depending on operational needs. The ideal candidate will support sales managers across designated territories while also managing administrative and customer service responsibilities.
Key Responsibilities
- Assist with submitting orders and sample orders in a timely and accurate manner.
- Conduct outbound calls to current and prospective customers for follow-ups, introductions, appointment scheduling, and general relationship-building.
- Maintain organized, up-to-date documents including:
- Manage and organize a CRM (Customer Relationship Management) system to ensure all customer information is accurate, current, and tailored to foster strong relationships.
- Provide exceptional customer service by addressing inquiries, processing invoices, and resolving claims with shipping carriers.
- Manage invoice processing and ensure timely and accurate documentation of customer transactions.
- Handle claims with shipping carriers for lost, delayed, or damaged goods, following up until resolution.
- Handle general data entry and administrative duties as needed.
Qualifications
- Fluent in English; Italian is a plus.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Experience with QuickBooks or similar accounting software.
- Strong organizational skills, attention to detail, and a proactive attitude.
- Ability to multitask and adapt to changing priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
