Provide secretarial support, support outreach efforts, handle logistical support for DAV outreach events, and assist the department director and staff. |
Essential Functions: - Assist director and staff by providing clerical work and attending to tenuous administrative details
- Act as front line department contact, routing calls and correspondence from media, internal, external sources
- Assist in the distribution of media outreach
- Assist in promoting the intended image for DAV
- Act as a point of contact for frontline media liaison
- Coordinate activities of key staff and/or guests to make arrangements for special events or meetings
- Coordinate unique special event activities, accommodations, and logistics
- Assist in ensuring special event objectives and requirements are met
- Assist with uploading documents to Communications home portal page
- Enter requisitions and invoices into ARM system
- Upload contracts for approval to the General Counsel home portal page
- Maintain inventory for office supplies, purchases, subscriptions, and memberships
- Schedule appointments, make reservations, and maintain department calendar
- Compose and format letters, memorandums, or other correspondence from scratch or rough draft
- Organize, prioritize, and expedite flow of work independently and with minimal supervision
- Answer telephone, route calls, greet visitors, and ascertain their needs
- Distribute miscellaneous information and various reports
- Process letters, invitations, and supplies for seminars
- Process requests for lists and labels
- Comply with mandates and directions of management
- Maintain Feedback email, route to appropriate individual/department, and ensure timely replies
- Perform other duties as requested

Essential Skills and Experience: - Minimum of three years of experience successfully performing administrative tasks
- Thorough understanding of modern office procedures and methods including telephone communications, office systems, and recordkeeping
- Ability to learn and execute basic public outreach using specific tools
- Ability to take initial media queries and follow through with senior communications staff
- Manage schedules and multi-task to support requirements of a large, extremely busy team
- Must have excellent professional and diplomatic communication skills both orally and written with people inside/outside the organization
- Proficient user of standard business computer and Microsoft Office software suite
- Skill to type 50 words per minute
- High school diploma or equivalent
- Additional education in communications a plus
