We are seeking an organized, efficient and quality communicator for a critical role at Dirt Hugger. This position is the key connector between our customers, our vendors, and our production team. You will work in our front office at the Compost Manufacturing Site, greeting trucking vendors and customers to direct them to the right place while logging their transactions in our custom database. You will also receive wholesale orders over various communication channels, accurately log them, and allocate their orders in a calendar-based delivery queue (real life Tetris). The position is indoors only but is in a heavy equipment/manufacturing environment.
During our busy seasons (spring and fall), this job is fast paced and demanding. During the off seasons you will have bandwidth to take on other activities to improve the business and our customer experience. For this reason you must also be self-motivated to help the business. Key Accountabilities
Dispatch Coordination
- Coordinate with customers and trucking partners for both pick-up and delivery of products.
- Communicate delivery timelines, needed adjustments, and updates to customers and Dirt Hugger teams.
- Monitor delivery progress and adjust priorities as needed.
Database Administration
- Maintain accurate and timely data entry for sales, tickets, deliveries, and vendor transactions.
- Ensure customer, vendor, and trucking partner records are complete and current.
- Reporting, inventory tracking, and operational visibility through database accuracy.
Front Office Customer Service
- Warmly greet and assist customers, vendors, and drivers at the front desk.
- Manage inbound calls, texts, and walk-in inquiries professionally and accurately.
- Provide relevant product information, guidance on ordering, and issue resolution to ensure a positive customer experience.
Trucking Invoice Review and Approval
- Review incoming trucking invoices for completeness and alignment with delivery records.
- Approve invoices in a timely manner and communicate discrepancies as needed.
- Work directly with trucking partners to resolve questions or billing variances.
Administrative & Office Communication Systems
- Manage office communications, including phone and text messaging systems.
- Process POS transactions, sales orders, and invoicing.
- Maintain an organized office and support administrative needs across departments.
Qualifications
- 2 years of experience in dispatch, office administration, logistics, customer service, or related roles.
- Competent with POS, invoicing, and database systems.
- Strong communication and multitasking abilities.
- Ability to lift 50 lbs and work in a manufacturing environment.
- Bilingual English/Spanish is a plus. Bilingual Bonus: $0.50/hour.
