Position Summary


We are seeking a highly organized and detail-oriented Corporate Events Manager to oversee the planning, coordination, and execution of company events and attendee experiences throughout the year. This role is responsible for managing all aspects of corporate event operations for 6–8 annual events ranging from 300–600 attendees, while also supporting ongoing event coordination, registration management, communications, vendor relationships, and administrative event functions.

The ideal candidate thrives in a fast-paced environment, can balance strategic event planning with hands-on execution, and is passionate about delivering seamless, high-quality experiences for attendees, sponsors, executives, and internal teams. This is an individual contributor role with no direct reports.


Corporate Event Planning & Execution


·        Lead end-to-end planning and execution of corporate events including conferences, leadership meetings, recognition programs, sales meetings, and special events.

·        Manage all event logistics including venue sourcing, hotel room blocks, food and beverage coordination, transportation, audiovisual production, signage, décor, and onsite operations.

·        Develop event timelines, production schedules, run-of-shows, and project plans to ensure successful execution.

·        Conduct venue research, site visits, and contract negotiations.


Event Coordination & Administrative Support


·        Manage attendee registration processes, guest communications, RSVP tracking, and event databases.

·        Coordinate speaker logistics, presentation materials, agendas, and attendee resources.

·        Maintain event calendars, task lists, budgets, and planning documentation.

·        Process invoices, purchase orders, vendor agreements, and expense reconciliation related to events.

·        Support shipping, inventory management, and organization of event materials and supplies.


Vendor & Budget Management


·        Build and maintain relationships with hotels, venues, caterers, AV partners, decorators, transportation providers, and other vendors.

·        Negotiate vendor contracts and pricing to maximize value while maintaining event quality.

·        Track event budgets, monitor expenses, and ensure events remain within approved financial guidelines.


Attendee Experience & Communication


·        Ensure a seamless and engaging attendee experience before, during, and after events.

·        Coordinate attendee travel support, registration communications, event updates, and customer service inquiries.

·        Troubleshoot and resolve onsite issues quickly and professionally during live events.


Cross-Functional Collaboration


·        Partner closely with marketing, operations, sales, finance, executive leadership, and external partners to support event goals and execution.

·        Assist with sponsorship fulfillment, exhibitor coordination, and event marketing initiatives where applicable.

·        Collaborate on event-related communications, promotional materials, and branded attendee experiences.


Reporting & Continuous Improvement


·        Conduct post-event evaluations and attendee feedback analysis.

·        Prepare event recap reports including attendance metrics, budget summaries, and recommendations for future improvements.

·        Maintain organized records of contracts, event processes, vendor information, and operational procedures.


Qualifications


·        Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or related field preferred.

·        4–6 years of experience in corporate event planning, event coordination, or hospitality/event operations.

·        Proven experience managing large-scale events with 300–600 attendees.

·        Strong organizational and multitasking skills with exceptional attention to detail.

·        Experience managing event logistics, registration platforms, vendor relationships, and budgets.

·        Excellent communication, customer service, and problem-solving skills.

·        Ability to manage multiple priorities and deadlines in a fast-paced environment.

·        Proficiency with Microsoft Office Suite and event management software/platforms.


Preferred Qualifications


·        Experience with conference or corporate meeting planning.

·        Familiarity with audiovisual production and onsite event operations.

·        Experience working with hotel and convention center partners.


Travel Requirements


·        Ability to travel domestically and internationally as needed to support event execution.

·        Flexibility to work evenings or weekends during live events when required.
