Executive Assistant - Medical Device
Our client is a growing medical device organization focused on innovative solutions for diabetes management. They are seeking a highly professional, organized, and adaptable Executive Assistant to support three senior leaders across Finance, Sales, and Commercial functions. This role requires exceptional calendar management, travel coordination, and executive-level judgment. The Executive Assistant will serve as a trusted partner; anticipating needs, managing priorities, and bringing structure to fast-paced, high-demand schedules. While all executives will be supported, the VP of Sales will require the highest level of day-to-day assistance, followed by the CFO, with lighter support for the CCO.
Location: Remote with limited to no travel (MUST currently reside on the East Coast U.S.)

Responsibilities:
Executive Support
- Provide high-level administrative support to three senior executives, ensuring seamless day-to-day operations
- Act as a gatekeeper and prioritization partner, managing competing demands with professionalism and discretion
- Anticipate executive needs and proactively resolve scheduling or logistical challenges
Calendar & Scheduling Management
- Own complex calendar management across multiple time zones
- Schedule internal and external meetings, leadership reviews, customer meetings, and board-related activities
- Coordinate executive attendance for meetings, events, and company initiatives
Travel & Expense Management
- Manage domestic travel logistics including flights, hotels, ground transportation, and dinners
- Prepare and reconcile expense reports, primarily for the CCO and CFO
- Support heavy travel planning for the VP of Sales, ensuring efficiency and organization
Cross-Functional & HR Support
- Provide light administrative assistance to the HR Manager, particularly related to travel coordination and hotel bookings
- Support company-wide initiatives such as National Sales Meetings (NSM) as needed
Requirements:
- Bachelor's Degree preferred
- Min. 5 years of experience supporting senior executives, ideally in medical device, life sciences, or a fast-paced corporate environment
- Experience as an Executive Assistant for an organization with a sales force
- Proven experience supporting multiple executives simultaneously
- Exceptional organizational, time-management, and prioritization skills
- High level of professionalism, discretion, and executive presence
- Strong communication skills with the ability to manage different leadership styles
- Proficiency with Microsoft Outlook, Teams, and standard expense and travel tools
Offering:
- Base Salary $90,000 - $100,000 (based on experience)
