Summary Job Description:
The Executive Assistant (EA) will be responsible for supporting the CEAO and executives on the External Affairs team in performing their day-to-day roles and organizational oversight. This position requires excellent organizational and relationship management skills (both internally and externally) as well as use of considerable judgment and independent proactive action.
Responsibilities:
- As Executives develop short-and-long-term goals for the organization and strategic approach to achieve them, EA will be responsible for developing a model for overseeing teams and tracking their progress.
- EA to manage development of materials for meetings with key stakeholders including Board, Committees as well as Corporate and Program leadership.
- Enhance organization effectiveness by ensuring the implementation of key decisions are carried out in a timely manner.
- Provide administrative support to executives including travel arrangements, meeting scheduling and expenses – amongst other support needed – all aligned with organization’s travel policy.
- Work with the Executives to prioritize invitations and opportunities to deploy right level of support to represent Direct Relief.
- Oversee logistics for key stakeholder events from proactive planning to smart and appropriate events befitting the audience and true to the Direct Relief brand
- Oversee executive communications plan for executives and develop comprehensive briefings, facebooks and other assets to ensure executives are always well prepared to represent Direct Relief as impactfully as possible.
- Monitor news for key stories about the marketplace, geopolitical situations and private sector updates to ensure Executives are always well-informed.
- Serve as a liaison with staff needing time with Executives which requires ability to prioritize and manage schedules with minimal direction.
- Represent C-Suite in the Salesforce implementation process to ensure key priorities are built into the platform – and oversee changes as platform is deployed.
- Proactively engage executives for updates on strategic priorities in prep for meetings with key stakeholders
Ideal Candidate Will Have:
- Must operate with a strong degree of collaboration, trust, respect and humility at all times and with all stakeholders
- 10 years of experience in a very fast-paced environment and ability to thrive with minimal direction
- Well-established experience with a clear ability to multitask and work in high pressure situations
- MS Office proficiency and Salesforce familiarity
- Strong event planning background with focus on being extremely organized, proactive and buttoned-up with prep, execution as well as follow up
- A high level of resourcefulness, professionalism, discretion, humility and can-do, roll-up-your sleeves team attitude.

- Willingness and ability to grow into a bigger role as organization continues to expand along with responsibilities.
Salary : $75,000 - $92,000
