What are the responsibilities and job description for the Inventory Systems & Automation Specialist position at Direct Gaming Resource?
DGR Slots is seeking a highly qualified Inventory Systems & Automation Specialist to take ownership of our inventory management systems, data structure, workflow automation, and inventory accuracy.
This is not a basic inventory or warehouse position. We are looking for a technically skilled, systems-oriented professional who understands how to manage inventory at scale and can help us improve the technology and processes behind our operation.
The ideal candidate will have extensive experience with inventory management systems, advanced Excel capabilities, database/data management knowledge, and programming or automation experience. This individual should be capable of evaluating our current processes, identifying inefficiencies, developing better solutions, and implementing systems that improve accuracy, traceability, reporting, and operational efficiency.
Our inventory includes complete gaming machines, serialized equipment, components, electronic parts, software, accessories, and other assets moving through multiple stages of receiving, refurbishment, production, sales, transfers, and shipping.
Key Responsibilities
- Manage and maintain inventory data across the organization.
- Maintain accurate serialized inventory and asset records.
- Develop and improve inventory controls, workflows, and system architecture.
- Maintain and optimize Fishbowl Inventory.
- Build and maintain advanced Excel workbooks, reports, imports, exports, formulas, dashboards, and data-validation tools.
- Develop integrations and automated workflows between inventory and operational systems.
- Utilize ClickUp and other business-management platforms to improve workflow visibility and accountability.
- Analyze existing inventory processes and identify opportunities for automation and process improvement.
- Create tools or scripts to eliminate repetitive manual data entry and reduce human error.
- Assist with database management, data cleanup, migration, reconciliation, and system implementation.
- Develop reporting tools for management to monitor inventory levels, movement, discrepancies, production status, and operational KPIs.
- Establish procedures for receiving, inventory transfers, production movement, parts usage, finished goods, and shipping.
- Maintain strong inventory traceability from receipt through final disposition.
- Troubleshoot inventory-system and data-integrity issues.
- Work directly with management, production, technical, sales, accounting, and logistics teams.
- Document processes and develop scalable SOPs for inventory and software systems.
- Recommend new technology, software, integrations, or processes when they would improve the operation.
Required Qualifications
We are seeking an experienced candidate. Applicants should possess a strong combination of inventory-management and technical systems experience.
- Demonstrated experience managing inventory systems in a complex or high-volume environment.
- Advanced or expert-level Microsoft Excel skills.
- Experience with ERP, MRP, WMS, or inventory-management software.
- Strong understanding of serialized inventory, inventory reconciliation, cycle counts, auditing, and data integrity.
- Experience working with large datasets and maintaining accurate master data.
- Programming, scripting, database, API, or workflow-automation experience.
- Strong analytical and problem-solving ability.
- Ability to independently evaluate an existing system and design improvements.
- Experience developing reports, dashboards, and operational metrics.
- Excellent organizational and documentation skills.
- Ability to communicate effectively with both technical and non-technical employees.
Highly Preferred Technical Experience
Candidates with experience in several of the following will receive strong consideration:
- Fishbowl Inventory
- ClickUp
- Advanced Microsoft Excel, including PivotTables, XLOOKUP, Power Query, complex formulas, data validation, and automation
- VBA / Excel macros
- SQL
- Python
- REST APIs and system integrations
- Power BI or similar business-intelligence/reporting platforms
- Database management
- ERP/WMS implementation or administration
- Barcode and serialized inventory systems
- Workflow automation
- Data migration and system cleanup
- Inventory-system integrations with accounting, production, sales, or shipping platforms
Experience in gaming equipment, electronics, manufacturing, refurbishment, distribution, or another serialized-equipment environment is a plus.
What We Are Looking For
We want someone who sees a complicated inventory process and immediately starts thinking about how to make it better.
The right person will be comfortable working with both physical inventory and the software behind it. They should be capable of understanding how inventory moves through an operation, determining where data or processes are breaking down, and building practical solutions.
This position will have significant opportunity to influence how our inventory and operational systems are structured as the company continues to grow.
We are specifically looking for someone who can bring technical knowledge and new ideas to the organization—not simply maintain the processes already in place.
