Position Summary

As a Dispatcher & Customer Service Representative, you will play a key role in supporting daily operational efficiency by coordinating fuel deliveries, providing exceptional customer service, and facilitating communication among drivers, customers, and internal teams. You will assist with dispatch operations, customer onboarding, administrative tasks, and basic inventory and stock management. This position works closely with drivers, warehouse staff, and other departments to ensure timely, accurate, and safe delivery operations while maintaining compliance with company policies and regulatory standards.

Responsibilities

Assist in dispatching fuel delivery drivers to customer locations according to the daily schedule.

Communicate delivery instructions clearly and efficiently to drivers, making real-time adjustments as needed.

Monitor active deliveries, track progress, and update customers and drivers regarding delays or changes.

Maintain accurate delivery records, including times, quantities, and customer information.

Collaborate with drivers to ensure fuel deliveries are completed safely, efficiently, and in

compliance with regulations.

Assist in managing emergency situations such as delays, truck issues, or safety incidents.

Become a subject matter expert on department-specific technology, dispatch software, and operational systems.

Provide professional customer support by answering questions, resolving delivery-related issues, and ensuring customer satisfaction.

Handle customer inquiries via phone, email, or internal systems.

Support onboarding of new customers, including account setup, documentation, and initial service coordination.

Maintain strong communication with customers regarding schedules, service updates, and

delivery expectations.

Process daily deposits accurately and securely.

Create and submit stock orders based on inventory needs and delivery schedules.

Perform general administrative tasks, including data entry, filing, and record keeping.

Ensure all activities comply with company policies, safety guidelines, and government regulations.

Other duties may be assigned to support operational objectives and business needs.

Qualifications

High school diploma or GED required.

Experience in dispatching, transportation, customer service, or related fields is a plus but not required.

Basic understanding of dispatch and scheduling processes preferred.

Strong verbal and written communication skills for effective interaction with drivers, customers, and internal teams.

Organizational skills with the ability to multitask in a fast-paced environment.

Proficiency with computers, dispatch systems, and office software.

Ability to remain calm and effective under pressure while solving problems.

Strong attention to detail and accuracy.

Basic knowledge of safety procedures and regulations in the fuel or transportation industry is beneficial.

Ability to work flexible hours, including evenings, weekends, and holidays as needed.

Working Conditions

Primarily office-based, with regular interaction with drivers, customers, and warehouse personnel.

Requires extended periods of sitting and computer use.

Fast-paced, deadline-driven work environment.

May require weekend or holiday work based on operational needs

Job Type: Full-time

Pay: $23.00 per hour
