BUSINESS MANAGER I

Reports to : School Principal

FLSA : Salaried, Exempt

General Summary : The Business Manager I is responsible for the full range of school administrative functions. At this level, school administrative responsibility may be delegated by the principal, to assist in the areas of finance, facilities, purchasing, communications, and personnel. The business manager at a school may supervise most or all support staff positions.

Essential Duties and Responsibilities :

  • Responds to specific and routine work assignments, as well as special projects from the Principal, necessitating great attention to detail, priority, and deadlines. Provides regular status updates on projects and estimated timelines for completion to the Principal and / or Pastor.
  • Must consistently demonstrate a positive, friendly, respectful and caring attitude with colleagues, the public, and all one serves in word and deed; projecting a welcoming atmosphere to all who visit the offices.
  • Works collaboratively and effectively with the parish business manager and other parish personnel and volunteer committees in a respectful, team environment, in the pursuit of the parish mission as led by the Pastor.
  • Serves as a strategic partner with the School Principal and pastor for the short / long-term financial strategy and growth of the school; working collaboratively and communicating with parish and school volunteer committees.

Financial Responsibilities

  • Assists the principal to assure that sound financial management is practiced by the school. This includes development and monitoring of budgets; assurance of timely and accurate reporting to the diocese, various government agencies; assurance of proper deposit, disbursement and accounting for all school community-related funds; and oversight of all major fundraising activities.
  • Seeks approval from the Principal and / or Pastor in concert with the policies, procedures, and guidelines set forth by the diocese regarding financial and temporal transactions; ensures compliance with the diocesan parish manual policies.
  • Creates, reviews, and presents accurate budgets and financial reports to the Principal, Pastor, and appropriate volunteer councils / committees.
  • Acts as a liaison on behalf of school with the diocese and other entities regarding fiscal responsibilities.
  • Personnel Responsibilities

  • Assists the Principal in recruiting, hiring and dismissing employees with the guidance of the diocesan Human Resource Department; maintains an adequate level of knowledge on current employment laws.
  • Assists principal with supervision of all school employees as assigned by the Principal that are not directly accountable to the Principal.
  • Assists the principal with regular checkpoints with direct reports; takes constructive timely action to remedy problems, and consistently meets quality standards and deadlines; works in a team environment and articulates the purpose and vision with staff, develop goals with them, establishes objectives, and follows-up to ensure that expectations are met.
  • Assists with leadership and encourages the development team to focus on new, innovative, and effective programs and works toward continuous improvement of existing programs. Meets yearly with each team member to review their job performance and performs a written evaluation with goals of each team member.
  • Creates and updates a school employee handbook that contains employment policies in consultation with the Principal and assistance from the diocesan Human Resource Department; ensures that the handbook and any revisions are reviewed by an employment law attorney for sound legal policies before presentment to employees.
  • Provides new employees with orientation subject to the school employee handbook, new-hire paperwork, I-9 verification, payroll forms, backgrounds checks and Protecting God's Children workshop, introductions, and expectations of the workplace.
  • Establishes and maintains position descriptions and personnel evaluations for employees.
  • Administrative Responsibilities
  • Coordinates with staff and volunteers to participate in staff planning and operational meetings; conducts significant dialogue with the Principal so that he / she is fully apprised of matters being considered and acted on by the school.
  • Maintains accurate school and facilities records including repair, construction, and financial.
  • Serves as the school's benefits administrator to coordinate insurance and other benefit programs of the school.
  • Ensures compliance with the policies, procedures and guidelines of the Protected Self Insurance Program of the Diocese of St. Augustine, directed by Deborah Tauroh, Risk Manager for the Diocese.
  • Attends workshops held by the Diocesan Office of Human Resources and the Diocesan Fiscal Office to stay abreast and updated on required policies, procedures, forms, best practices, government compliance, and for one's own personal development.
  • Comes prepared to staff meetings and other committee meetings appropriate to the position.
  • Performs other related duties as assigned by supervisor.
  • Knowledge, Skills, and Abilities Required

  • BA / BS degree in Business, Finance, Accounting, Human Resources or related business discipline from an accredited college preferred.
  • Knowledge of budgeting principles and practices, accounting principles and financial reporting using the cash basis accounting and some modified accrual basis. Ability to read and analyze financial statements.
  • Requires a moderate to high level of computer expertise in accounting software and Microsoft excel, with a moderate level of Word, PowerPoint, and Outlook.
  • Must have successful experience in a supervisory capacity.
  • A forward-thinking financial manager who is team-oriented, proactive and a collaborative business partner with all internal department heads, affiliated organizations, committees / boards, and organizational leaders.
  • Must have a collaborative style; proven team builder with effective employee-relations skills. Proven ability to lead and motivate teams through recognition, participation and delegation. A leadership style that is approachable, engaging, as well as results and action-oriented, that holds people accountable for their work and celebrates success.
  • Must have the ability to develop and maintain positive relationships with employees at all levels.
  • Ability to face situations firmly, courteously, tactfully, and with respect for the rights of others.
  • Familiarity and fluency with the use of technology and the ability to know how to team with others to creatively use technology in the pursuit to make the school more effective and efficient.
  • Practicing Catholic preferred and registered member of a Catholic parish faith community. The ability to respect, promote, accommodate, and not be in conflict with the mission, moral and social teachings, doctrines, and laws of the Roman Catholic faith.
  • Must be flexible, innovative in a fast paced, time-critical environment and the ability to work independently.
  • Must be able to organize and prioritize work, be proactive, take initiative, resolve complex problems, follow through, and simultaneously manage multiple priorities.
  • Performs work at a high level of accuracy and attention to detail.
  • Strong interpersonal, written, and verbal communication skills, including ability to produce clear, concise reports and recommendations and make presentations to varied groups.
  • Maintains a high degree of professionalism and credibility with the parish and school staff, department heads, clergy, and the public, with a high focus on building effective and positive relationships.
  • Exercises considerable independence and judgment with a high level of confidentiality.
  • Must successfully pass the required Safe Environment background check prior to employment and every five years.
  • Must maintain a valid driver's license.
  • LANGUAGE SKILLS

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the general public.

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

    REASONING ABILITY

    Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
