Position Title: Business Manager (Part-Time 20-25 hours/week)
Reports To: Pastor
Location: On Site 
 
Position Summary
The Business Manager is a key member of the parish responsible for supporting the mission and vision of the church through managing its business and finances. This role ensures sound financial stewardship, compliance with accepted accounting principles, diocesan policies, and operational efficiency.

 

Key Responsibilities
1.    Financial Management and Accounting
a.    Budgeting: Collaborate with the Pastor, and Finance Council to develop, monitor, and report on annual operating budgets for both the parish.
b.    Bookkeeping: Maintain accurate financial records, general ledgers, and accounts payable/receivable for all church and school accounts. 
c.    Cash Flow, Deposits and Paying Debts: Manage Sunday collections, and other revenue including donations. Reconcile bank statements and credit cards monthly. Make sure a certain amount of debt reduction is paid monthly as directed by the diocese. 
d.    Reporting: produce financial reporting for the parish; summarizes financial data, prepares monthly financials and other financial reports; reviews invoices and process for payment; prepares agenda for parish finance council meeting, and attends regularly scheduled meetings as required by the diocese. 
2.    Human Resources and Payroll
a.    Payroll Processing: Process payroll for all parish employees.
b.    HR Administration: Manage benefits enrollment (health insurance, retirement), maintain personnel files, and process new hire paperwork in compliance with Diocesan policies, state and federal laws. Answer questions and concerns from employees on benefits and payroll. 
3.    Operational and Facilities Supports
a.    Facilities management: Oversee maintenance, janitorial services, and assist the director of facilities to ensure safety/security protocols.
b.    Vendor Relations: Manage contracts, insurance policies, and vendor agreements; negotiate competitive pricing for services and supplies. 
c.    Fundraising Support and Marketing: Assist with parish fundraising initiatives, other marketing events, capital campaigns, and maintaining parish donor relationships.
d.     Perform daily office tasks as needed, answering phones, mailing, emailing in a timely manner, maintaining office equipment, and providing office training as needed (including lunch). Purchase office supplies and equipment’s, including computers, copiers, phone systems and office computer software as required for the parish and school. 
4.    Administrative and Stewardship
a.     Liaison: Serve as a staff liaison to the Parish Finance Council.
b.    Data Management: Oversee parish census, offertory systems, online giving, donor spreadsheet records, and thank you notes sent to donors. 
c.    Compliance: file necessary tax and Diocesan reports in a timely manner. 

 

Additional Functions
Performs related duties as required, necessary, or assigned.

 

Qualifications and Skills
associate’s degree in accounting, management, or related field preferred.

Functional Reasoning: Requires the ability to apply principles of influences systems, such as motivation, incentive, and leadership, and to exercise independent judgment to apply facts and principles for developing approaches and techniques to resolve problems. 
Situational Reasoning: Requires the ability to exercise judgment, decisiveness and creativity in situations involving broader aspects of organizational programs and operations or the direction, control and planning of an entire program or set of programs. 

 


ADA COMPLIANCE 
Physical Ability: Tasks require the ability to exert physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve periods of time at a keyboard or workstation.
Sensory Requirements: Some tasks require the ability to perceive and distinguish visual cues or signals. Most tasks require the ability to communicate orally. 
Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
