Overview
We are seeking a detail-oriented and proactive Data and Document Control Specialist to join our team. In this vital role, you will manage and oversee all document control processes, ensuring compliance with industry standards such as ISO 13485, ISO 9001, FDA regulations, and pharmaceutical regulatory requirements. Your expertise will support our quality management system, streamline document workflows, and uphold the highest standards of data integrity and regulatory compliance across our operations.
Responsibilities
- Maintain and update all controlled documents within document management systems such as SharePoint and ERP platforms, ensuring accuracy and accessibility.
- Maintain database of work instructions available to work floor. Edit as needed to maintain current version. Utilize Adobe products to create and edit existing work instructions.
- Review, proofread, and verify documents for technical accuracy, clarity, and compliance with regulatory standards.
- Manage document workflows from creation through approval, distribution, revision control, and archiving to ensure seamless process flow.
- Ensure strict adherence to document control procedures aligned with ISO 13485, ISO 9001, FDA regulations, and pharmaceutical standards.
- Facilitate cross-functional communication by coordinating document review sessions among engineering, quality assurance, production, and regulatory teams.
- Conduct regular audits of records management systems to verify compliance with legal and regulatory requirements.
- Support project management activities by organizing technical documentation and maintaining accurate records for audits or inspections.
Skills
- Strong knowledge of ISO 9001 standards and other regulatory compliance.
- Proven experience in document control within the engineering or manufacturing industry.
- Proficiency in document management systems such as SharePoint and ERP software; familiarity with Microsoft suite for technical writing and data entry.
- Excellent organizational skills with attention to detail for filing, proofreading, and records management.
- Ability to manage multiple projects simultaneously while maintaining accuracy under tight deadlines.
- Effective communication skills for collaborating across departments and ensuring document compliance standards are met.
- Technical proficiency in project management software and data management tools to streamline workflows.
