Position Overview
Diligence Security Group (DSG) is seeking a proactive and detail-oriented Administrative Strategist to provide high-level operational, administrative, and analytical support across multiple business areas. This role requires excellent communication, organization, and problem-solving skills with a focus on improving efficiency and ensuring smooth coordination between departments.
The Administrative Strategist will support executive scheduling, assist with HR operations, manage procurement and vendor relations, oversee social media and marketing initiatives, and track performance data through KPI dashboards. The ideal candidate will thrive in a dynamic environment and possess the professionalism and adaptability to work across diverse functions with discretion and independence.

Key Responsibilities
Administrative and Executive Support
Manage calendars, emails, and scheduling for executive and departmental leaders.
Coordinate meetings, agendas, and follow-ups to ensure timely communication and project tracking.
Prepare reports, presentations, and correspondence with attention to detail and accuracy.
Handle travel logistics and event coordination as needed.
Procurement and Contract Management
Research and manage RFP (Request for Proposal) opportunities.
Maintain contracts, licenses, and certifications, ensuring compliance with renewal timelines.
Oversee vendor relations, including payment coordination and performance follow-up.
Support internal and external audits of procurement-related activities.
Human Resources and Compliance
Assist with HR-related tasks including recruiting coordination, onboarding, and document management.
Maintain accurate employee records and ensure compliance with credentialing and training requirements.
Support internal communications and employee engagement initiatives.
Marketing and Social Media Management
Coordinate social media content and marketing initiatives to promote DSG programs and events.
Manage content calendars and collaborate with internal departments and partners for campaigns.
Track engagement metrics and provide performance reports.
Data Analysis and KPI Management
Develop and manage KPI dashboards to measure performance and operational outcomes.
Analyze data trends and prepare executive summaries for leadership review.
Collaborate with management to identify improvement opportunities and streamline reporting systems.
Cross-Functional Collaboration
Work with team members, strategic partners, vendors, and clients to ensure effective communication and project delivery.
Manage task follow-ups and documentation across departments.
Contribute to business initiatives and special projects as assigned.
Qualifications
Education & Experience
Associate’s degree or higher preferred (Business Administration, Communications, or related field).
3 years of experience in administrative, operations, or project coordination roles.
Experience with vendor management, HR processes, and business analytics preferred.
Prior experience in a security, operations, or service organization is a plus.
Licenses & Certifications (Preferred)
Valid State Driver’s License.
Eligible for California Guard Card and LiveScan.
Notary certification or eligibility preferred.
Skills & Abilities
Exceptional organization, multitasking, and time management skills.
Strong writing and communication skills.
Proficiency in Google Workspace and Microsoft Office Suite.
Experience using AI tools, data dashboards, and digital scheduling software.
Ability to travel up to 30% and occasionally work weekends as needed.
Demonstrated professionalism, discretion, and confidentiality.
Physical Requirements
Ability to sit for extended periods and work on a computer.
Must be able to lift up to 25 pounds occasionally (for office or event materials).
Travel and after-hours availability as required by business needs.
