Position Title: Part-Time Enrollment Coordinator Department: Admissions / Student Affairs Reports To: Student Affairs Director Hours: [16 hours per week, even including some evenings for student calls] Status: Non-Exempt, Part-Time
Position Summary
The Part-Time Enrollment Coordinator serves as the primary point of contact for prospective and incoming students. This role focuses on proactive outreach, lead management via the Orbund Dashboard, and guiding students through the enrollment funnel, from initial contact to first day of class. The ideal candidate is a people-person who is comfortable making high-volume phone calls, detail-oriented in document collection, and passionate about helping students navigate admissions requirements for Practical Nurse (PN) and Allied Health programs.
Key Responsibilities
1. Proactive Student Outreach (Outbound Calling)
- Initiate outbound calls to potential students from the Orbund Dashboard to discuss program offerings, prerequisites, and next steps.
- Respond to inbound inquiries promptly and schedule campus tours or virtual meetings.
- Make detailed notes in Orbund after every communication (call, email, text, or meeting).
2. Admissions Requirements Management
- Nurse (PN and ASN) Applicants: Ensure submission of application, application fee, state ID, official high school diploma/GED/evaluation, post-secondary transcripts (Math, English, Psychology), Critical Thinking exam score (50 ), and holistic admission document (with Student Affairs).
- Allied Health Applicants: Ensure enrollment fee, state ID, and official high school diploma/GED/evaluation are received.
3. Enrollment Document Completion
Once students are approved, assist them in completing enrollment documents:
- Enrollment Agreement
- Background Consent Form
- Immunization Records
- Clinical Acceptance Document (PN only)
- Student Program Agreement
- Catalog & Handbook Acknowledgment
- Orientation Schedule (PN)
- Payment Agreement & Grant Acceptance (Allied Health)
- Disclosures Forms (Allied Health)
4. Financial & Compliance Touchpoints
- Verify that students have paid the enrollment/application fee per program requirements.
- Confirm all admission documents are submitted before acceptance.
5. Seamless Transition & File Management
- Upload every signed document to the student’s Orbund profile.
- Provide students with an electronic copy of all signed documents.
- Issue communication regarding seat acceptance (email) and work with students to confirm seat acceptance.
- Coordinate with Student Affairs Director for holistic support from start through orientation/first day of class 1.
6. Orientation & ID Distribution Support
- PN and ASN Students: Program Director oversees orientation; Enrollment Coordinator ensures student is enrolled and documents are complete prior. IDs are issued on day 1 or 2.
- Allied Health Students: Ensure students are scheduled for the first day of class; books and IDs are issued on day 1.
Qualifications
- High school diploma required; Associate degree preferred.
- 1 years of experience in admissions, customer service, sales, or academic advising.
- Comfortable making 20-30 outbound calls per day.
- Proficiency with student information systems preferred
- Excellent organizational skills for document tracking and follow-up.
Key Performance Indicators (KPIs)

Pay: $17.00 - $22.00 per hour
