DICKINSON STATE UNIVERSITY (DSU) is a regional comprehensive institution within the North Dakota University System, whose primary role is to contribute to intellectual, social, economic, and cultural development, especially to Southwestern North Dakota. DSU is seeking to hire the first University Blue Hawk Outfitters Store Manager. The purpose of this position is to oversee all aspects of the University Store’s operations and to ensure effective and efficient service to the campus population. The manager is responsible for developing direct and responsive relations with the University students, faculty, and staff. The manager is also responsible for implementing policies and working towards goals that have been established by the DSU president and or cabinet.


MINIMUM QUALIFICATIONS/REQUIRED COMPETENCIES:

  • Bachelors degree or higher in related field
  • Or, associate’s degree and at least two (2) years of relevant experience
  • Or, a high school diploma or G.E.D. and at least four (4) years of relevant experience
  • Valid Driver’s license, or the ability to obtain one within two (2) weeks of start date
  • Experience in retail management
  • Proficient knowledge of computers, MS Office Suite software and internet
  • Proficient operation of POS, credit card machine, cash register, calculator, fax machine
  • Ability to multi-task
  • Excellent communication skills necessary to deal with diverse groups of people

DUTIES/RESPONSIBILITIES:

  • Direct Everyday Operations
    • Direct, interpret, and apply standards, policies, and procedures for the day-to-day operations in the store.
    • Have a working knowledge of the GM, TA, and Insight programs.
    • Have a working knowledge of the back-office server for the POS system. Purchasing, pricing, selling, and stocking.
    • Set up accounts with publishers, wholesalers, distributors, suppliers, and vendors utilizing the P-Card when possible.
    • Set up shipping methods with all vendors.
    • work with the Stoxen Library on physical copy text needs and course material when necessary.
    • Establish log-in(s) for all departmental secretaries and department chairs to utilize the online web adoption program.
    • Train all departmental secretaries and departmental chairs on the web adoption program.
    • Sales: cash/check handling, credit card sales, departmental purchases, and financial aid purchases. Record maintenance: Oversee daily deposits and batching of the credit card terminal along with the closing PCS procedures.
    • Manage blue hawk outfitters website
    • Manager Theodore Roosevelt library e-commerce site. This may include the Theodore Roosevelt association and TR center/DSU. This includes supplying the store in Medora and New York.
    • Anticipate inventory needs/Inventory control.
    • Receiving, pricing, cleaning and stocking all course of all merchandise.
    • Oversee online, merchandise and clothing orders.
    • During rush periods, transfer student financial aid files daily.
    • Update and transfer the enrolled student list (using the reporting tools function in PeopleSoft) to the registers daily during rush periods.
    • Work with university brand manager to \create/design logos for all apparel, novelties etc. for all websites
    • Create spreadsheets and databases as needed for the operation of the bookstore. Conduct audits of bookstore funds with store assistant.
    • Verify that the confidential cost code is accurate for all inventories items. Maintain and update the Bookstore Operations Manual.
    • Verify that returns of defective merchandise are completed. Update the Online textbook and merchandise sites.
    • Oversee daily UPS detailed reports.
    • Verify merchandise and funds for off-site sales (football games, author appearances) are accurate Provide Safety/Security for store contents.
    • Maintain a high degree of confidentiality while working on the tasks listed above.
    • Other duties as assigned.
  • Marketing and Promotion
    • Coordinate and plan marketing efforts for the entire operation. Maintain faculty, staff, student, and community/public relations. Coordinate promotions and activities
    • Plan and execute advertising campaigns.
    • Plan, implement, and evaluate individual marketing promotions. Create store signage and brochures.
    • Create displays for merchandise.
    • Create window displays. (In-store and on campus)
    • Use social media platforms, as the lead in marketing for the store and following DSU guidelines, to market and promote the University Store.
    • Work with the Office of Marketing & Communications regarding public relations/announcements' for the Bookstore and University.
    • Create e-mails on list-servs for campus announcements.
    • Conduct market research as necessary.
    • Other duties as assigned.
  • Staffing
    • Interview and perform background check/references on potential employees. Hire and terminate staff.
    • Staff training. (POS, policies and procedures) Assign work schedules.
    • Monitor employees daily.
    • Train staff on phone etiquette, customer service and up-selling.
    • Track Federal and Institutional work-study hours/dollars for student employees. Track vacation and sick leave hours of full-time employees. Verify accuracy.
    • Conduct annual evaluations of staff.
    • Other duties as assigned.
  • Industry Standards
    • Be involved in regional and national bookstore associations Read various trade and informational publications.
    • Serve as a liaison to the academic and administrative community. Attend annual CAMEX convention.
    • Keep current with innovations regarding books, merchandise, public relations, store operations, and information systems.
    • Other duties as assigned.
  • Record Keeping
    • Review Request for Payment, Interdepartmental Billings (IDB) spreadsheet, and Credit Memos prepared by store assistant.
    • Verify monthly P-Card statement with original invoices is accurate. Oversee spreadsheet of stored overstocked course materials.
    • Verify that accounts payable spreadsheet and files are accurate and updated. Prepare quarterly sales tax reports.
    • Update online booklist. HEOA compliance.
    • Conduct physical inventory of course materials twice each semester. Conduct an annual physical inventory.
    • Maintain and update a database of publishers, distributors, wholesalers, and other suppliers. Monitor return eligibility (watch for expiration)
    • Handle returns of overstock course materials on a timely basis
    • Other duties as assigned.
  • Physical demands include
    • occasional tasting or smelling,
    • frequent climbing or balancing, stooping, kneeling, crouching, or crawling,
    • continuous standing, walking, sitting, use of hands dexterously, as well as reaching with hands and arms, talking and hearing,
    • the ability to lift or carry
      • up to 25 pounds continuously,
      • up to 50 pounds frequently,
      • and more than 51 pounds occasionally
    • Seasonal packaging and lifting boxes of course materials; moving heavy wall displays; climbing a ladder 25-35% of the time.


COMPENSATION PACKAGE:

  • Salary of $50,000-55,000/annually, commensurate with qualifications and experience
