Greenway Ford of KC is seeking a detail-oriented and customer-focused Service Office Assistant to support our Service Department operations. This role is responsible for handling customer transactions, assisting with CSI reporting, processing warranty claims, collecting payments, and supporting lot operations. The ideal candidate is organized, professional, and thrives in a fast-paced dealership environment.
Key Responsibilities
Customer Service & Transactions
- Greet and assist service customers in a professional and friendly manner
- Process repair orders and customer transactions accurately
- Answer incoming calls and route inquiries appropriately
- Assist with appointment confirmations and follow-ups
Cash Handling & Payments
- Collect and post customer payments (cash, check, credit/debit)
- Reconcile daily transactions and maintain accurate financial records
- Assist with closing procedures for the service department
Warranty & Administrative Support
- Prepare and submit warranty claims accurately and in a timely manner
- Maintain warranty documentation and ensure compliance with manufacturer guidelines
- Assist with tracking and monitoring claim status
CSI & Reporting
- Support Customer Satisfaction Index (CSI) reporting and follow-up processes
- Run and distribute service-related reports as needed
- Maintain accurate service records and data entry
Lot & Operational Support
- Move vehicles safely on the lot as needed
- Assist with vehicle check-in and check-out procedures
- Ensure keys are properly logged and stored
- Support overall service lane organization
Qualifications:
- Previous experience, preferred
- Neat, clean, and professional appearance
- Strong customer service skills
- High school diploma or GED preferred
