Dick Anderson Construction is seeking a motivated, organized, and detail-oriented Full-Time Proposal Coordinator to join our team. This position is based in Montana and will work in-office at one of our Montana locations. The specific office location will be determined based on company needs and the needs of the position.
The Proposal Coordinator is responsible for handling and coordinating the preparation, development, and delivery of high-quality proposals, qualifications packages, and presentations in response to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and other business opportunities. This role works closely with project managers, estimators, and project teams to ensure proposals accurately reflect the company’s capabilities, values, and competitive strengths.

Responsibilities Include
Proposal Support
- Support the development of proposals from kickoff through final delivery, ensuring compliance with RFP/RFQ requirements.
- Establish proposal schedules, track deliverables, and coordinate input from multiple stakeholders.
- Maintain consistency in brand, messaging, and formatting across all proposal materials.
- Write, edit, and proofread proposal content, resumes, project descriptions, and supporting materials.
- Collaborate with subject matter experts (SMEs) to translate technical information into compelling storytelling with a keen understanding of the proposed project and client
- Tailor messaging to meet client needs, highlight differentiators, and align with company strategy.
- Format proposals, graphics, and presentations using appropriate tools
- Coordinate printing, binding, and electronic submission of proposals.
- Create and develop a proposal database.
- Maintain and update the proposal content library, project sheets, staff resumes, and boilerplate text.
- Ensure past performance data and client references are accurate and up to date.
- A successful candidate will be extremely organized and able to organize company-wide data and use expertise to enhance every proposal.
- Utilize quality controls within every proposal and conduct quarterly audits to ensure all materials are accurate and up to date.
- Utilize and enhance internal organizational processes for the ease and success of the proposal process.
- Work closely with project team members to achieve the overall goal.
- Participate in proposal kickoff meetings, review sessions, and debriefs.
- Assist with preparation of interview presentations and marketing collateral when needed.

- Bachelor’s degree in Communications, Business, Construction Management, or a related field preferred, but not required.
- At least two years of proposal coordination experience, ideally within the construction, architecture, or engineering industries.
- Familiarity with construction terminology and project delivery methods preferred.
- Strong writing, editing, and proofreading skills.
- Proficiency in a variety of editing and drafting tools.
- Excellent organizational and time-management skills, with the ability to meet tight deadlines.
- Strong interpersonal and collaboration skills in a fast-paced environment.
