We are seeking a dynamic and highly organized HVAC Office Manager to lead our administrative operations and ensure the smooth functioning of our HVAC Customer Service Department and functioning of the office. Duties
- Oversee daily office operations, and manage our dispatch department.
- Supervise administrative staff, providing training, development opportunities, and performance feedback to ensure high productivity and morale.
- Answer phones and backup the team when needed.
- Listen and classify call recordings to ensure accuracy of information provided to customers and maximize booking rates from customer service.
- Manage key performance indicators for department to maximize call booking rates and revenue generation.
- Create and assign outbound call reports.
- Manage re-stocking of office supplies.
- Communicate with other departments as needed to ensure maximum productivity.
Qualifications
- Minimum 3 years of experience in office management, leadership or administrative roles within an office environment or related field, Required.
- Supervising experience with strong leadership skills to motivate and guide team members effectively.
- Proficiency in Microsoft Office.
- Knowledgeable in Service Titan software, preferred.
- Excellent organizational skills with the ability to manage multiple calendars, schedules, and priorities simultaneously.
- Strong communication skills with professional phone etiquette and customer service.
- Experience in human resources functions such as onboarding, training & development, and employee recordkeeping.
- Background in HVAC or related fields is a plus but not required.
