Duties
- Greet visitors and clients warmly, providing excellent customer service and maintaining a professional front desk presence
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Schedule appointments, coordinate calendars, and manage meeting rooms for staff and clients
- Perform data entry, maintain filing systems, and ensure all documents are accurately proofread and organized
- Utilize software such as Microsoft Office, Google Workspace, QuickBooks, and other office management tools to support daily operations
- Handle incoming and outgoing correspondence, including emails, mailings, and courier services
- Assist with bookkeeping tasks, including basic invoicing, expense tracking, and record keeping
- Support office management duties such as ordering supplies, maintaining inventory, and ensuring the workspace is organized and efficient
- Provide clerical support including photocopying, scanning, proofreading documents, and maintaining accurate records
- Offer customer support via phone or in person by addressing inquiries promptly and professionally
Qualifications
- Proven experience in an office environment or as a receptionist with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or similar accounting software is preferred
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
- Strong communication skills with an emphasis on phone etiquette; bilingual abilities are highly desirable
- Experience managing multi-line phone systems and calendar management tools
- Demonstrated attention to detail in proofreading, data entry, and record keeping
- Previous experience in medical or dental reception is a plus but not required; relevant personal assistant experience is also valued
- Ability to handle confidential information discreetly while maintaining professionalism at all times
- Strong time management skills with the capacity to prioritize tasks effectively
