Position Summary: The Accounting Administrator serves as the primary strategic partner and "right hand" to the Director of Accounting. This pivotal role goes beyond routine processing to provide high-level support across all financial and administrative functions of the Company. The Administrator is responsible for maintaining the integrity of the general ledger, spearheading complex reconciliations, and acting as a critical filter for the Director by investigating and resolving discrepancies independently. By ensuring total data accuracy and operational efficiency, this role empowers the Director of Accounting to focus on high-level financial strategy and long-term company goals.
Enhanced Essential Duties & Responsibilities
- Executive Support & Partnership: Act as the primary point of contact for the Director of Accounting, assisting in the execution of departmental goals and standing in for the Director on administrative matters as needed.
- Audit & Quality Control: Lead internal audits of financial transactions; proactively identify systemic errors and design/implement corrective actions to improve financial accuracy.
- Full-Cycle Financial Oversight: Manage accounts payable and receivable with a focus on cash flow health, overseeing invoice entry, payment cycles, and high-level collections strategy.
- Advanced Reconciliation: Perform sophisticated bank and credit card reconciliations, ensuring all accounts are balanced and any anomalies are investigated and resolved without supervision.
- Month-End/Year-End Leadership: Drive the month-end and year-end closing processes by preparing complex journal entries and ensuring all schedules are "Director-ready" for final review.
- Project & Cost Analysis: Monitor job costing and budget tracking for landscaping projects, providing the Director with actionable insights on project profitability and budget variances.
- Process Improvement: Continuously review existing accounting workflows to identify bottlenecks and recommend technology or procedural upgrades to enhance departmental efficiency.
Qualifications including Knowledge, Skills and Abilities:
- Attention to detail with great analytical, organizational and prioritization skills
- Well-rounded computer software skills
- Excel knowledge
- Working knowledge of QuickBooks or other financial software/programs
- Great communication skills
- Works well independently and within a team environment under pressure
- Ability to pivot in a fast-paced environment
- Ability to work in industry with seasonal changes to responsibilities and tasks.
Education and Experience:
- 4 years of college (BA or BS) or equivalent experience
- Minimum 2 years Accounting Clerk Experience
Industry knowledge preferred Language Skills:
- Bilingual Spanish preferred.
