Our Jewelry Production and Special Orders Assistant is a multifaceted role that supports the smooth operation of a jewelry business, from receiving orders to the final delivery to customers. The specific responsibilities can vary depending on the size and structure of the company, but generally, they include a combination of order management, and administrative tasks. Core Responsibilities: Order Management and Fulfillment: This involves the administrative side of getting orders to customers. Key tasks include: Managing and organizing the production schedule to ensure orders are fulfilled on time. Packing and shipping orders accurately and efficiently. Communicating with clients about orders and their progress. Vendor/Factory and suppliers Management: Distributing and managing the production process. Responsibilities may include: Distributing the orders and following up on the production process. Organizing made-to-order, ready-to-ship products and samples. Sourcing and purchasing findings, diamonds, and precious stones. Administrative and General Support: This can be a broad category, but it is essential for the overall function of the business. Tasks may include: Assisting with day-to-day office tasks, such as organization and tidiness. Providing support to other team members and departments (e.g., sales, design). Data entry and maintaining records related to production, inventory, and orders. Liaising with external vendors and manufacturers. Key Skills and Qualifications: Attention to Detail: This is perhaps the most critical skill, as accuracy is essential in both production and order fulfillment. Organizational and Time-Management Skills: The ability to prioritize tasks and manage a production schedule is vital in a fast-paced environment. Problem-Solving Abilities: Production issues, such as a material shortage or a broken piece, will inevitably arise, and the assistant needs to be able to troubleshoot and find solutions. Communication Skills: Effective communication is needed to coordinate with team members, vendors, and clients.
