Position Mission:
To ensure timely, efficient, and accurate scheduling of field service appointments by managing technician routes, communicating with customers, and resolving conflicts as they arise.
Overview:
Diamond Heating, Cooling, Plumbing & Electrical is hiring a Dispatcher to be a central coordinator between customers and field teams. The Dispatcher plays a pivotal role in ensuring smooth operations by managing communications, schedules, and administrative tasks across multiple departments, including HVAC, Plumbing, Electrical, and Sales. This position requires exceptional organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. The ideal candidate will have strong communication skills and a customer-focused mindset, working closely with technicians, clients, and managers to drive efficiency and enhance the customer experience.
Client and Technician Communication
- Answer incoming calls from clients and technicians, address inquiries, and provide support.
- Make outbound calls to schedule estimates, sold jobs, and follow up on estimates
- Debrief technicians after job completions and assist with customer complaints to ensure satisfaction.
Job Coordination and Scheduling
Coordinate jobs across Sales, HVAC Service, Plumbing, and Electrical departments with managers and technicians.
- Dispatch service calls to maximize scheduling efficiency and profitability
- Review daily schedules to ensure jobs are booked correctly with appropriate time windows
- Manage and adjust the Tech on-call schedule in RTC, Google Calendar, and Service Titan.
Administrative and Documentation Tasks
- Pull permits and schedule inspections.
- Process and review purchase orders for accuracy.
- Manage invoicing, including spell checks, payment applications, itemization of tasks, job costing, and calculation of labor bonuses.
- Register warranties, file warranty claims, and activate equipment (e.g., generators)
- Create training materials, including Loom videos, and assist in developing new processes for departmental growth.
Inventory and Equipment Management
- Track and manage inventory for Quiet Cool and Generac equipment.
- Order Quiet Cool equipment as required.
Accounting and Financial Duties
- Call clients to collect outstanding balances (Accounts Receivable).
- Process refunds with manager approval.
- Collaborate with the accounting department to achieve end-of-month financial goals.
Quality Control and Training
- Provide training and coaching to CCR staff, addressing errors and notifying managers as needed.
- Speak with inspectors and coordinate inspections to ensure job compliance and pass requirements.
Additional Responsibilities
- Assist with coordinating manager schedules to avoid overbooking.
- Manage Power Plays to ensure operational goals are met.
