Job Summary:
Diamond Pool & Spa is hiring an organized, professional Office Assistant to help keep our service operation running smoothly and our customers well supported. In this role, you will support the daily operations of our service, maintenance, and holiday lighting departments by handling customer communication, scheduling and dispatch support, invoicing, payment processing, recordkeeping, and a wide range of administrative tasks that help keep the business running efficiently. You’ll work closely with both office staff and field technicians to keep information accurate, tasks moving, and customers taken care of in a timely and professional manner. This position is best suited for someone who is dependable, detail-oriented, polished in their communication, and able to manage multiple priorities in a busy environment with frequent interruptions. Strong follow-through, sound judgment, and the ability to stay organized under pressure are essential.
Essential Duties and responsibilities include but are not limited to the following:
Initiating and correctly completing all items listed on Task List associated with this position. Tasks include but are not limited to: phone reception, appointment confirmations, maintaining client records, preparing mailings, etc.
The Support Assistant performs their duties with respect to and in line with the Mission, Vision and Purpose of Diamond Pool & Spa, Inc.
Work Hours:
- 25-30 hrs / wk.
Schedule:
- Monday to Friday
- Occasional Saturdays during May through September
- 10:30 am to 4:30 pm
Education and/or Experience:
- At least 1 year of experience in an office, administrative, customer service, scheduling, dispatch, or support role required
- 2 years of related experience preferred
- High school diploma or equivalent required; additional college coursework is a plus
- Strong verbal and written communication skills
- Proficiency with Microsoft 365, including Outlook, Word, and Excel, is strongly preferred
- Comfortable learning service management software and other office systems
- Strong organization, attention to detail, and follow-through
- Professional, dependable, and capable of working with minimal supervision once trained
Communication Skills: Ability to create written correspondence in a professional manner for the purpose of communicating with clients or co-workers. Ability to listen and respond effectively when speaking with clients and co-workers both one-on-one as well as within groups.
Computer Skills: Ability to work proficiently in a variety of software applications to include but not limited to data entry, spreadsheet manipulation, Microsoft e-mail and on-line navigation. MS 365 experience preferred.
Self-Management: Ability to organize and prioritize multiple tasks and perform their work in a busy environment with regular interruptions and still be successful in completing work within allotted time frames with minimal supervision. Ability to apply logistical and critical thinking skills. Ability to set and achieve personal and professional goals.
Pay: $20.00 per hour
