Position: Administrative Assistant
Vision of the Role
The Administrative Assistant will serve as a virtual support resource for the in-person operations of Friendship Circle of Central Jersey. This role is essential in ensuring smooth day-to-day administrative processes for the nonprofit organization by handling data entry, communication tasks, scheduling, and more, all while working remotely.
Core Responsibilities
- Provide daily administrative support to staff and program leaders remotely.
- Manage emails, internal communications, and document organization.
- Maintain accurate data entry across internal systems and databases.
- Assist with calendar scheduling, appointment setting, and meeting coordination.
- Help prepare materials for events, meetings, or community outreach efforts.
- Organize and track tasks, documents, and files using cloud-based tools.
- Support donor and volunteer communication as needed (email outreach, follow-ups).
- Other general virtual assistant duties as assigned.
Qualifications
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Strong data entry and digital organization skills.
- Excellent written communication skills and fluency in English.
- Strong attention to detail and ability to multitask.
- Excellent time management and self-motivation.
- Familiarity with platforms like Asana, Notion, Microsoft Teams, Zoom, or other remote collaboration tools is a plus.
- Ability to work independently while being a reliable team collaborator.
- Bilingual candidates (English/Spanish) preferred.
