About the role
This position consists of three primary areas: bookkeeping, rental/property management, and administrative support, along with general office support duties. The role reports directly to the owners and office manager.
Duties & Responsibilities
1. Rental & Property Management (50%)
- Answer and direct phone calls and emails.
- Manage marketing efforts, including website updates and advertising.
- Organize and schedule appointments.
- Maintain organized filing systems and records retention.
- Manage tenant accounts using property management software for over 900 storage units and close to 200 rental units.
- Maintain occupancy by advertising, filling vacancies, and enforcing lease agreements.
- Collect rent and fees and manage collections.
- Respond to tenant concerns and enforce property rules.
- Inspect vacant units, coordinate repairs, and work with maintenance vendors.
- Assist ownership in setting rental rates, forecasting, and profitability planning.
- Prepare reports on occupancy, income, and property performance.
2. Backup Bookkeeping & Accounting (50%)
- Enter and record income and expenses into QuickBooks
- Assist with accounts payable and accounts receivable
- Help with rent tracking, payments, and deposits
- Assist with bank reconciliations
- Help prepare basic financial reports
- Assist with payroll and organizing documents for CPA at year-end
- Maintain organized financial records and files
3. Miscellaneous Duties
- Assist with legal and collections paperwork when needed.
- Support owners and team members with projects and general office tasks.
- Cross-train to assist in other roles when needed.
Candidate requirements
Required
- Knowledge of basic accounting principles and financial reporting.
- Proficient in basic computer use, including Microsoft Office and web-based software (Excel, Word).
- Strong organizational, time management, and problem-solving skills.
- Ability to multitask in a fast-paced environment.
- Professional communication and customer service skills.
- Positive attitude, flexibility, and willingness to learn.
- Reliable transportation and valid driver’s license.
Preferred
- Property management or rental management experience.
- Customer service experience.
