We are seeking a highly organized and detail-oriented Document & Disclosure Operations Specialist to support ongoing initiatives around document management, public disclosures, and customer communications. This role is critical in helping streamline how we manage Letters of Volatility (LoVs), disclosures, and related customer interactions.
You'll play a key role in reviewing, organizing, and modernizing documentation processes, supporting compliance efforts, and enabling better cross-team collaboration. This is a hands-on, project-focused role ideal for someone who thrives in structured yet fast-paced environments.

Potential projects:
Letter of Volatility (LoV):
Catalogue existing letters to be able to find the proper letter - currently we have to open each document and search it
Organize the documents - currently we have two places and likely have duplicates

Managing / merging documents:
Review, deconflict, and aggregate documents
Create central location for storage
Clean up historical public disclosures:
Use the scoring from S4 to identify which disclosures need to be updated or do not have the required information based on the new requirements
Disclosure support:
Vulnogram uploading
Template creation and formatting
Uploading and formatting in AEM
Inbox support: (not sure about this, will depend on experience and trust build during beginning month or two)
Triaging emails from customers
LoV creation request and sending to customer

Cataloguing and Indexing: Ability to catalogue and index documents for easy retrieval.
Document Organization: Skills in organizing documents to avoid duplication and ensure consistency.
System Proposal: Experience in proposing and implementing document management systems.

Review and Deconflict: Proficiency in reviewing, deconflicting, and aggregating documents.
Centralized Storage Solutions: Experience in creating and managing centralized document storage.
Public Disclosure Management
Compliance and Update: Familiarity with compliance requirements and updating disclosures based on new regulations.
Scoring and Analysis: Ability to use scoring systems (like S4) to identify and prioritize disclosures for updates.
Disclosure Support
Vulnogram Management: Skills in uploading and managing disclosures in Vulnogram.
Template Creation: Proficiency in creating and formatting templates.
AEM Expertise: Experience with Adobe Experience Manager (AEM) for uploading and formatting documents.
Customer Support and Communication
Email Triage: Ability to triage and manage customer emails efficiently.
Customer Communication: Skills in creating and sending LoV creation requests to customers.
Additional Considerations
Project Management: Strong project management skills to oversee and coordinate these tasks.
Attention to Detail: High attention to detail to ensure accuracy and compliance.
Technical Proficiency: Familiarity with relevant software and tools for document management and disclosure support
