Intellectual Property Legal Assistant
Key Responsibilities:
- Prepare, proofread, revise, profile, and save correspondence and drafts of documents.
- Client billing activities include time entry, proofreading, modifying, and sending client invoices.
- Overall administrative support to the practice group, which includes two attorneys.
- Assist with opening new files using Aderant and Foundation IP.
- Prepare/send/save Engagement Letters to new clients.
- Scan incoming mail and distribute to appropriate attorneys
- Save e-mails for attorneys in NetDocs.
- Assist with preparation of formal documents, including Application Data Sheets, IDSs, Declarations, Powers of Attorney, Assignments, Issue Fee Transmittals, and general transmittal letters.
- Send docket-filed reporting e-mails; assist with other reminders as needed
- Provide docket report and FIP updates to attorneys.
- Assist with wire/check requests as needed; Assist with Expense reports as needed; Save/address invoice e-mails as needed and direct to Accounting for processing.
- Assist with USPTO Filings.
Education: Associate degree, High School Diploma, GED Equivalent, or industry-specific certifications.

- Attention to Detail: Ensuring precision in proofreading documents, filing, and meeting deadlines.
- Communication Skills: Strong written and verbal communication skills for interacting with attorneys, clients, and external parties.
- Legal Knowledge: Familiarity with legal terminology, court systems, and document requirements.
- Technical Proficiency: Proficiency in using Microsoft Office Suite, legal tools (e.g., case management systems, e-filing platforms, document management systems), and office equipment.
- Professionalism: Maintain discretion and confidentiality when dealing with sensitive client and case information.
- Problem-Solving: Ability to anticipate attorneys’ needs and proactively address issues.
