Job Overview

We are seeking a detail-oriented and organized candidate for a full-time combined Medical Billing Specialist and Administrative Assistant to join our hardworking healthcare team. The candidate will oversee the daily administrative operations of the clinic and work towards an environment where the providers are able to operate efficiently, deliver exceptional patient care, and remain compliant with healthcare regulations. The administrative assistant serves as a bridge between patients, medical staff, and external stakeholders, fostering a supportive environment where quality healthcare thrives. The position also includes overseeing and helping other staff manage the billing cycle for the clinic. Your expertise will ensure accurate insurance reimbursement, timely claim processing, and optimal financial health for our practice.

Key Responsibilities

  • Claims Processing: Prepare and submit clean, accurate insurance claims to government and commercial payers.
  • Insurance Verification: Verify patient insurance eligibility, benefits, and pre-authorization requirements prior to scheduled care.
  • Denials & Appeals: Investigate denied or rejected claims, correct errors, and submit comprehensive appeals to ensure maximum reimbursement.
  • Patient Billing: Generate patient invoices, explain Explanation of Benefits (EOBs) and statements, and facilitate payment plans.
  • Compliance & Auditing: Audit medical records for accuracy and compliance with state/federal regulations including HIPAA and CMS guidelines.
  • Assisting with the patient check-in process
  • Evaluating timesheets for accuracy and submitting on a bi-weekly basis
  • Ensuring FSA and dependent care spending accounts are set up accurately
  • Accurately tracking PTO accrual and usage and coordinating with CEO, COO, and CPA
  • Tracking daily provider visits and presenting them weekly to CEO and COO
  • Tracking employee anniversaries for the purpose of raises
  • Organizing and preparing weekly huddles for staff
  • Communicating with employees about staffing changes for absent workers
  • Tracking new patient trends
  • Coordinating marketing campaigns
  • Coordinating and maintaining accurate information for our on-line presence, including provider’s search page details (Google, Bing, Healthgrades, etc.)
  • Coordinating with our website host for any changes for the clinic website
  • Coordinating with the appropriate services for any credentialing needs
  • Onboarding new providers and employees
  • Ensuring new employees are trained appropriately for their assigned roles
  • Coordinating with CPA to set up payroll for new employees

Qualifications

  • Education: High school diploma or equivalent required. Completion of an accredited Medical Billing program or Associate’s degree in Health Information Administration is required.
  • Certifications: Active coding certification from recognized bodies (e.g., CPC, CPB, or CCS from AAPCor AHIMA) is highly desirable.
  • Technical Skills: Proficiency in Electronic Health Records (EHR) software and medical billing systems.
  • Knowledge Base: Deep understanding of medical terminology, healthcare laws, and evolving coding standards.
  • Soft Skills: Exceptional attention to detail, strong analytical and mathematical abilities, and excellent written and verbal communication skills.
