Location: Detroit Waldorf School

Employment Type: Full-Time

Salary: Minimum Starting Pay:  $20 per hour

Detroit Waldorf School (DWS) is seeking a dedicated and detail-oriented Accounting Coordinator to join our administrative team. This position plays a vital role in supporting the school's financial operations and ensuring the successful administration of the Accessible Tuition (AT) Program.

Reporting directly to the Finance Director and Administrator, the Accounting Coordinator is responsible for managing key accounting functions, supporting financial aid administration, and maintaining the financial integrity of the school. This role requires sound judgment, strong organizational skills, and a commitment to accuracy and confidentiality.


Work Schedule:

Monday through Friday, 8:00 a.m. – 4:00 p.m. (in person)

Additional requirements include:

  • Attendance at weekly faculty meetings on Thursdays until 5:30 p.m. during the school year.
  • Occasional evening and weekend work as needed throughout the year.


Key Responsibilities

The Accounting Coordinator will:

  • Manage accounts payable, including reviewing invoices, processing check requests, printing checks, and maintaining supporting documentation.
  • Prepare and review adjusting journal entries for online purchases, recurring invoices, and other accounting transactions.
  • Reconcile all bank accounts monthly to ensure accurate month-end closings.
  • Monitor bank account balances and petty cash.
  • Process and record credit card payments, donations, tuition, extended care, and other school-related payments.
  • Review payroll tax payments through EFTPS and Michigan Treasury Online to ensure timely compliance.
  • Prepare and remit Michigan sales tax filings when applicable.
  • Administer payroll deductions including garnishments and other required withholdings.
  • Prepare and process cash and check deposits while maintaining accurate financial records.
  • Support tuition collection efforts, including tuition payment plans, extended care, and NSF collections.
  • Assist with and eventually lead the Accessible Tuition (financial aid) program in collaboration with the Finance Director and AT Committee.
  • Prepare audit schedules and supporting documentation for annual financial reviews and audits.
  • Enroll new employees into payroll and retirement systems during onboarding.
  • Maintain vendor records, W-9 documentation, certificates of insurance, and 1099 eligibility records.
  • Manage the Accounts Payable email inbox and coordinate invoice approvals with staff.
  • Support fundraising activities by assisting teachers and parents with financial transactions and providing training when needed.
  • Upload emergency contact forms into CheckWriters.
  • Complete additional accounting and administrative projects as assigned.


Qualifications

Required

  • Associates Degree (Bachelor's a plus) in Accounting, Finance, or a related field.
  • At least 3 years of bookkeeping/accounting experience.
  • Experience using QuickBooks Desktop or QuickBooks Online.
  • Strong understanding of Generally Accepted Accounting Principles (GAAP).
  • Proficiency with Microsoft Excel and Google Workspace.
  • Excellent organizational, analytical, and communication skills.
  • Ability to maintain confidentiality and manage multiple priorities.

Preferred

  • Experience in education, nonprofit organizations, or independent schools.
  • Payroll software experience.
  • Experience with budgeting, financial reporting, payroll processing, and audits.
  • At least one year of supervisory or management experience.
  • Knowledge of school funding, grants, payroll legislation, tax compliance, and financial forecasting.
  • Interest in or willingness to learn about Waldorf Education.

Training Requirements

The selected candidate will be required to complete and maintain the following trainings as a condition of employment:

  • Mandated Reporter Training
  • First Aid and CPR Certification (required every two years)
