PROJECT COORDINATOR
Department: Project Management
Reports To: Project Manager
Location: Sudbury, MA (Hybrid with in-office presence)
POSITION SUMMARY
The Project Coordinator supports the Project Manager and Project Management Department in ensuring seamless execution of custom fabrication and installation projects.
This role is responsible for administrative support, material coordination, documentation, and client communication assistance, helping projects stay on schedule and within scope.

KEY RESPONSIBILITIES
Project Support
- Assist Project Managers with project setup, documentation, and daily coordination tasks.
- Maintain and update project schedules in collaboration with the Scheduling Coordinator.
- Communicate updates to vendors, installers, and internal teams.
Material Coordination
- Issue purchase orders for materials as directed by the Project Manager.
- Track material orders and delivery timelines to ensure readiness for installation.
- Maintain organized records of all purchasing activity.
Client Communication Assistance
- Draft and send client updates on behalf of the Project Manager when requested.
- Help manage client inquiries and ensure timely responses.
Documentation & Compliance
- Ensure that all project files are complete, accurate, and stored in company systems.
- Assist with change order processing and billing support as required.
KEY PERFORMANCE INDICATORS (KPIs)
- On-time delivery of project milestones.
- Accuracy in purchase orders and material tracking.
- Timely response to internal and external communications.
- Compliance with documentation and process standards.
REQUIRED SKILLS & EXPERIENCE
- 1–3 years of experience in project coordination, construction, or related industry preferred.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and project management tools (e.g., Monday.com).
- Ability to prioritize multiple tasks in a fast-paced environment.
Physical Requirements
- Ability to lift 20 pounds.
- Traditional office and client-facing setting; travel to client sites, trade shows, and networking events as needed.
