Position Summary
Destined for Options (DFO) is seeking a highly organized and professional Office Assistant to support the daily operations of our Personal Care Attendant (PCA) and Home & Community-Based Services programs. The Office Assistant will be responsible for administrative duties, staff support, client coordination, scheduling assistance, and maintaining compliance documentation.
Essential Duties and Responsibilities
Administrative Support
- Answer and direct incoming phone calls.
- Greet clients, staff, and visitors professionally.
- Manage office emails, faxes, and correspondence.
- Maintain client and employee files.
- Scan, upload, and organize documents electronically.
Scheduling & Staffing
- Assist with scheduling PCA staff and client services.
- Monitor staff attendance and call-offs.
- Communicate schedule changes to clients and caregivers.
- Assist with maintaining adequate staffing coverage.
Client Services Support
- Process new client intake paperwork.
- Verify client documents and authorizations.
- Assist with service agreements and care plans.
- Follow up with clients regarding appointments and service needs.
Human Resources Support
- Assist with onboarding new employees.
- Track employee credentials, trainings, and background checks.
- Maintain personnel files and compliance records.
- Support recruitment efforts and job postings.
Billing & Documentation
- Review timesheets and EVV documentation for accuracy.
- Assist with payroll preparation.
- Verify documentation is complete before billing submission.
- Maintain records in accordance with Medicaid and agency requirements.
Compliance & Quality Assurance
- Ensure client and employee files remain audit-ready.
- Track expiring licenses, certifications, and required documents.
- Assist with quality assurance reviews and corrective actions.
- Support state and accreditation compliance activities.
Qualifications
- High School Diploma or GED required.
- Associate’s Degree preferred.
- Minimum 1 year of administrative or office experience.
- Experience in healthcare, home care, behavioral health, or Medicaid services preferred.
- Strong computer skills including Microsoft Office, Google Workspace, and electronic record systems.
- Excellent communication and organizational skills.
- Ability to handle confidential information professionally.
