FRONT DESK/EVENT MANAGER at Destination Geneva National
Join the fun, fast-paced hospitality team at Destination Geneva National in beautiful Lake Geneva, Wisconsin’s premier resort town. As a Front Desk/Event Manager, you are often the first point of contact with hotel, dining and golf guests visiting our resort. Our windowed Call Center is located on the main floor of our sprawling Clubhouse, which overlooks three championship golf courses and the serene Lake Como.
JOB SUMMARY
In this new hybrid role, the Front Desk/Event Manager provides exemplary service for our on-site guests; book individual and group lodging, golf, and restaurant reservations; and detail and plan corporate, golf, and social group functions.
This position requires that you learn all about our resort offerings, and enthusiastically describe these amenities to guests calling in with resort questions or reservations requests. Sales, customer service and problem-solving skills are essential, including active listening to fully comprehend guest requests or to resolve issues when guest experiences do not match expectations.
Microsoft Outlook, Excel, Word, and Google Sheets will be used daily. Knowledge of online reservations software is a plus, but not essential, as these programs can be taught on the job. A passion for serving others and caring for guests is vital.
RESPONSIBILITIES
Customer Service and Reservations
- Articulately answer phone calls, make real-time online reservations, and assist guests with inquiries.
- Provide information on date, time, and pricing options for hotel overnight stays, dining reservations, and tee times.
- Address guest special requests, concerns, and questions about the resort and surrounding area activities.
- Follow up with guests to ensure their requests or concerns are resolved satisfactorily.
Product Knowledge and Representation
- Professionally represent Destination GN's golf, vacation, meeting, and wedding venues with enthusiasm.
- Assist in booking Stay and Play packages.
- Collaborate with the Call Center team to meet sales goals and customer expectations.
Front Desk Support
- Process guest check-ins, check-outs, room assignments, and handle room change/late check-out requests.
- Ensure cleanliness in public spaces and hotel rooms.
- Conduct room inspections to identify maintenance needs and ensure rooms meet company standards.
Event Planning and Coordination
- Understand industry trends and creatively plan events to exceed guest expectations.
Review event contracts and monitor deposits for social and golf events.
- Enter and update group information into appropriate systems.
- Plan and coordinate all details for assigned functions, working closely with group contacts and various hotel departments.
- Be onsite during events and client arrivals to ensure impeccable execution.
- Communicate event details in meetings and ensure department heads are informed of any issues or compliments.
Client Relationship Management
- Establish and maintain timely communication with clients for groups.
- Assist the Food & Beverage Manager in addressing group special requests or issues.
- Monitor room pickup for each group and maintain client communication regarding cutoff dates.
QUALIFICATIONS
- High School diploma or equivalent.
- Excellent verbal communication and phone skills.
- Strong data entry skills.
- Customer-centric focus with attention to detail.
- Ability to multitask effectively.
- Flexibility to adapt to different tasks and responsibilities.
- Highly organized and detail oriented.
- Proficient in Outlook, Delphi, Microsoft Office, and relevant software.
- Positive and enthusiastic attitude.
- Knowledge of workplace safety procedures.
