What are the responsibilities and job description for the Operations Administrator (Estate Planning, Property Management & Real Estate) position at Destination Finders International?
Business Operations Coordinator
Multiple Businesses | Real Estate • Property Management • Estate Law • Professional Services
We’re looking for an exceptionally organized, proactive, and people-oriented Business Operations Coordinator to help keep several growing businesses — and the people behind them — running smoothly.
This is not a traditional administrative assistant position.
Our shared office is home to multiple businesses spanning real estate, property management, estate law, and other professional services. We need someone who can see the big picture while staying on top of the details: managing schedules, supporting teams, coordinating events and communications, keeping the office organized, and making sure important things don’t fall through the cracks.
Some days you'll be managing calendars and preparing for an event. Other days you may be coordinating with a vendor, helping organize client information, checking on a property, ordering supplies, or solving a problem nobody saw coming.
If your natural instinct is, “I see what needs to happen — I’ll handle it,” we want to meet you.
What You’ll Do
- Help oversee the day-to-day operations of a shared professional office supporting multiple businesses
- Serve as a central point of communication for team members, clients, vendors, tenants, and business partners
- Manage calendars, appointments, meetings, deadlines, and follow-up items
- Keep office systems, files, supplies, and shared spaces organized and professional
- Assist with client care and ensure inquiries and requests reach the right person
- Support real estate and property management operations, including documentation and occasional property visits
- Coordinate vendors, maintenance providers, deliveries, signs, keys, supplies, and other operational needs
- Assist with events, networking opportunities, client appreciation activities, and community initiatives
- Support marketing and communications projects as needed
- Help maintain organized digital systems using Google Workspace, spreadsheets, email, CRM platforms, and other business tools
- Identify problems, inefficiencies, or unfinished tasks and take initiative to help resolve them
- Help hold multiple moving pieces together without requiring constant direction
Who We’re Looking For
You’ll probably thrive here if you are:
- Highly organized and genuinely enjoy creating order
- A strong communicator who is comfortable interacting with professionals, clients, tenants, vendors, and the public
- A self-starter who doesn't need someone standing over your shoulder
- Comfortable managing competing priorities across several businesses
- Detail-oriented without losing sight of the bigger picture
- Professional, discreet, and trustworthy with confidential information
- Comfortable learning new technology and systems
- Flexible when priorities change — because occasionally they will
- Someone who notices what needs to be done and handles it
- Positive, dependable, resourceful, and comfortable working with a team of genuinely good humans
Experience in office management, executive support, legal administration, real estate, property management, operations, marketing, or event coordination is a plus.
You do not need experience in every industry we serve. We care more about your ability to learn quickly, communicate well, take ownership, and keep things moving.
Reliable transportation is required, as occasional errands and local property visits are part of the position.
Schedule & Compensation
- Part-time to start, with the potential to grow into a larger/full-time role
- Primarily in-office with occasional local errands and property visits
- Pay: $18–$25/hour depending on experience
- Opportunity for increased responsibility and advancement as our businesses continue to grow
Why This Role Is Different
You aren't coming in to simply answer phones and complete a checklist.
You'll become an important part of an entrepreneurial office where several businesses operate under one roof and collaboration happens every day. We work hard, care deeply about our clients and communities, and believe good people should actually enjoy the people they work with.
There is plenty of structure — but there is also plenty of room to bring ideas, improve systems, take ownership, and grow.
We’re looking for someone who wants to become part of the operation, not simply complete tasks for it.
To Apply
Please submit your resume along with a short introduction telling us:
Why does this position sound like a good fit for you, and what is something you naturally take ownership of without being asked?
We’re less interested in a perfectly polished cover letter and more interested in finding the right human to join our office.
