Job Summary
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! The ideal candidate will be highly organized, experienced with QuickBooks, tech-savvy, and possess excellent communication skills. You will play a vital role in managing daily office functions, handling client interactions, and maintaining precise financial data to support our company's growth and efficiency.
Duties
- Manage accounts receivable and payable using QuickBooks, ensuring timely invoicing and payments
- Perform data entry with high accuracy, maintaining organized spreadsheets and financial records
- Handle front desk duties including greeting visitors, answering multi-line phone systems, and directing calls professionally
- Support office management tasks such as filing, document proofreading, and calendar management
- Assist with client communication via phone, email, and in-person interactions while providing exceptional customer service
- Coordinate appointment scheduling for staff and manage calendar updates.
- Maintain office supplies inventory, organize files, and ensure the office environment is efficient and welcoming
Experience
- Proven clerical experience with strong computer literacy across Microsoft Office Suite (Word, Excel), Google Workspace, and other productivity tools
- Prior experience in bookkeeping or accounting using QuickBooks or similar software is required
- Demonstrated ability to handle multi-line phone systems with professionalism and courtesy.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Excellent time management skills coupled with attention to detail for proofreading, data entry, and filing tasks
