In this role, you will be the central support for our office and project management team, helping the business run smoothly and professionally. Your responsibilities will include answering and routing calls, managing shared inboxes, scheduling meetings and site visits, assisting with project paperwork, helping with subcontractor onboarding, and keeping our digital files and office environment organized. The ideal candidate is highly organized, tech savvy, comfortable on the phone, and enjoys supporting multiple people at once in a fast-paced environment. Experience in construction, architecture, or design is a plus but not required. Responsibilities Answer and route incoming phone calls; greet visitors and handle deliveriesMonitor and organize shared email inboxes and respond to basic inquiriesMaintain calendars for Project Managers, including scheduling site visits, inspections, and client/architect meetingsSet up new projects in our systems, including digital folders, contact lists, and basic checklistsAssist with project documents such as proposals, contracts, scopes of work, change orders, and simple tracking sheetsHelp collect and track subcontractor paperwork (COIs, onboarding forms, etc.)Coordinate with vendors and service providersMaintain an organized office environment, supplies, and files (physical and digital)Support basic bookkeeping and admin tasks such as organizing receipts, time sheets, and invoices for the bookkeeperAssist with light marketing and admin tasks such as organizing project photos and updating simple company information when neededQualificationsHigh school diploma/GED required; some college preferredPrevious experience as an office coordinator, office manager, administrative assistant, or similar roleExperience in construction, architecture, real estate, or design office is a plusComfortable with office technology and cloud-based tools (Google Workspace or Microsoft Office, Excel/Sheets, email, calendars, shared drives)Strong phone presence and professional, friendly communication styleExcellent time management skills and ability to prioritize multiple tasks across several active projectsStrong attention to detail and follow-throughReliable, organized, and able to keep things moving without constant supervision
