Position Summary:
The Clinical Office Manager oversees daily clinic operations to ensure an organized, efficient, patient-focused practice. This role ensures provider schedules are optimized, workflows are consistent and compliant, cross-functional communication is smooth, and that both patients and providers have a positive experience. The Clinical Office Manager proactively identifies bottlenecks, leads process improvements, supports team education, and ensures strategic directives are executed at the clinic level.
Reports To: Director of Clinical Operations
Key Responsibilities:
1. Provider Schedule Management
- Monitor provider schedules a minimum of 2 weeks ahead to ensure accuracy and capacity.
- Coordinate with clinical, authorization, billing, and scheduling teams to maintain full and precise schedules.
- Develop and standardize scheduling protocols and workflows.
- Communicate schedule changes promptly and ensure operational workflows reflect these changes.
2. Team Collaboration Workflow Optimization
- Maintain a comprehensive understanding of the end-to-end patient experience (check-in → check-out).
- Identify workflow enhancements to improve team cohesion and efficiency.
- Receive and address team feedback, concerns, and complaints constructively.
- Identify when staff need support vs. more responsibility; deliver performance coaching.
- Coordinate initial training and re-training to ensure consistent workflow execution.
3. Project & Compliance Management
- Execute directives in collaboration with other clinic managers and the Director of Clinical Operations.
- Maintain clinical and clerical inventory levels.
- Implement and maintain policy & procedure adherence to regulatory standards (OSHA, CDC, etc.).
- Understand and support implementation of Merit-Based Incentive Payment System (MIPS) measures.
4. Patient & Provider Satisfaction
- Triage and address patient complaints specific to the clinic.
- Identify communication lapses and correct them with appropriate internal teams.
- Monitor live provider pacing throughout the day; assist clinical staff in minimizing delays and informing patients.
- Triage incoming patient communications (emails, voicemails, faxes, etc.) to the appropriate clinical team in a timely manner.
5. Proactive Operational Oversight
- Anticipate potential workflow issues using deep understanding of clinic operations and roles.
- Conduct audits of clinical documentation and processes to identify improvement opportunities.
- Create and maintain analytics reporting to assess productivity and highlight inefficiencies.
Qualifications:
- 2 years experience in medical office management or healthcare operations preferred
- Knowledge of clinical workflow standards, regulatory compliance, and quality programs (e.g. OSHA, CDC, MIPS)
- Excellent communication and conflict resolution skills
- Strong organizational, multitasking, and analytical skills
- EMR experience preferred (ModMed, Athena, etc.)
