Position Summary
The Job Coach Scheduler coordinates and schedules job coach coverage to ensure authorized consumer work hours are adequately staffed and supported. This role provides administrative and case management support for supported employment services while also performing direct job coaching duties as needed. The position requires strong organizational, communication, and problem-solving skills to manage schedules, authorizations, reporting, and consumer support services while maintaining compliance with agency policies and program requirements.
Key Responsibilities
- Develop, maintain, and distribute weekly job coach schedules to ensure appropriate staffing coverage.
- Track consumer work schedules, hours worked, and completed job coaching hours using agency systems and reports.
- Monitor and manage intake, placement, and job coaching authorizations to ensure uninterrupted services.
- Complete utilization reports, maintain case records, and ensure timely submission of required documentation.
- Coordinate communication regarding scheduling changes and staffing needs.
- Assign and monitor completion of monthly progress reports by Job Coaches.
- Provide direct job coaching services as needed, including consumer training, support, workplace orientation, and performance monitoring.
- Maintain positive relationships with employers, consumers, staff, and community partners.
- Ensure compliance with confidentiality standards, agency policies, ethical practices, and safety procedures.
- Attend staff meetings, trainings, and other agency-related functions as assigned.
Qualifications
Required
- High school diploma or equivalent.
- Minimum of two years of office, clerical, scheduling, or coordinator experience.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Access.
- Current First Aid and CPR certification.
- Valid California drivers license, clean driving record, and proof of insurance.
- Strong verbal and written communication skills.
- Strong organizational, analytical, time management, and problem-solving abilities.
- Ability to maintain accurate records, manage confidential information, and prioritize multiple responsibilities.
- Ability to work flexible hours, including evenings, weekends, and holidays as needed.
Preferred
- Experience working with persons with disabilities.
- Experience in supported employment, vocational services, or case management.
- Experience coordinating schedules, staffing assignments, or workforce coverage.
Schedule & Compensation
- MondayFriday (On-Site) 8:00 AM 4:30 PM (37.5 hrs./wk.)
- Flexible hours may be required depending on consumer and staffing needs, including early mornings, evenings, weekends, and holidays.
- Travel between worksites may be required.
- Hourly Pay Range: $19.00- $23.50 per hour
