What are the responsibilities and job description for the Administrative Assistant-Building and Grounds Department position at Derry Township School District?
ESSENTIAL FUNCTIONS:
All job functions are to be executed through the lens of high quality customer service. Customers are defined as both internal and external clients. Examples demonstrative of high quality service may include, but are not limited to, the following:

- Coordinates a variety of programs and activities (e.g. meetings, in-service day activities, workshops, ceremonies, dances, luncheons, field trips, etc.) for the purpose of delivering services in conformance to established guidelines.
- Monitors assigned district activities and/or program components for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
- Performs record keeping (confidential and non-confidential) and general and program specific clerical functions (e.g. scheduling, copying, faxing, etc.) for the purpose of supporting assigned administrator and/or site with necessary materials.
- Maintains inventories of supplies and materials for the purpose of ensuring items' availability.
- Prepares written materials (e.g. reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Processes documents and materials for the purpose of disseminating information to appropriate parties.
- Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Supports assigned administrative personnel for the purpose of providing assistance with administrative functions.
- Maintains current files on employee absences, purchase requisitions, conference requests, school activities, etc.
- Assist with filing records/files as per the records management policy.
- Maintains an attractive and comfortable reception/office area.
- Answer multiline phone and utilize building entry systems to provide building access to visitors.
- Ensure layered security through the use of the visitor and volunteer management system
- Ensure accurate reporting of daily student attendance records
- Enter and maintain accurate reporting of daily student records in the Student Information System (SIS).
- Manage student late arrivals, early dismissals, and return to school processes.
- Send out daily messages to families or students using district wide system as needed.
- Prepare attendance letters as needed.
- Process educational trip forms
- Other responsibilities assigned.
KNOWLEDGE & SKILL REQUIREMENTS:
Education:
High School Diploma or GED, Associate Degree or higher preferred.
Certification:
None
Experience:
General knowledge required to perform basic math, including calculations using fractions, percent’s, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; office equipment/software; and English grammar, punctuation, and spelling
Skills:
Effective oral and written communication skills, and effective use of technology required.
