Position Summary:
The Front Desk Receptionist plays a key role in providing a warm, welcoming, and professional first impression for patients. This position is responsible for greeting and assisting patients, managing check-in and check-out processes, scheduling appointments, verifying insurance, collecting payments, and supporting smooth daily clinic operations. The ideal candidate is friendly, organized, detail-oriented, and able to multitask in a fast-paced medical environment.
Responsibilities
Patient Experience & Front Desk Duties
Greet patients and visitors in a courteous and professional manner
Check patients in and out efficiently and accurately
Answer multi-line phones; direct calls and take messages as needed
Assist patients with completing forms and office consents
Provide information regarding office policies and appointment instructions
Maintain a clean, organized reception area and waiting room
Scheduling & Communication
Schedule, reschedule, and confirm patient appointments
Manage patient flow and communicate delays to patients and clinical staff
Coordinate referrals and medical record requests as needed
Communicate professionally with patients, providers, and external offices
Insurance & Billing
Verify insurance eligibility and benefits for upcoming appointments
Collect co-pays, deductibles, deposits, and outstanding balances
Maintain accurate documentation and follow billing protocols
Assist patients with basic billing questions and direct complex inquiries appropriately
Administrative Support
Scan and upload documents to EMR
Maintain confidentiality of patient information in accordance with HIPAA
Support clinical staff and providers with administrative tasks
Perform end-of-day reconciliations and prepare deposits
Qualifications
Previous medical office or dermatology experience preferred (but not required)
Excellent communication and customer service skills
Strong attention to detail and multitasking abilities
Ability to maintain professionalism and compassion under pressure
Basic understanding of medical terminology and insurance plans a plus
Proficient in computer systems; experience with EMR preferred
Bilingual skills (e.g., Spanish) strongly preferred
Work Environment & Schedule
Fast-paced outpatient clinical setting
Must be reliable, punctual, and able to work assigned schedule
Occasional need to assist with clinic tasks outside reception duties
