Tuition and Financial Aid Manager
The Tuition and Financial Aid Manager plays an important role in the business operations structure of DePaul College Prep. This role works under the direction of the Director of Finance, supporting the school's financial health by effectively managing our tuition and scholarship processes. The Tuition and Financial Aid Manager will use extensively a tuition, financial aid, and billing software (DePaul College Prep will switch from FACTS to Blackbaud during the summer of 2026) and Excel or Google Sheets. This role is integral to the school's financial management system and requires a strong knowledge of budget processes.
Role Responsibilities:
Tuition Collection and Data Management
- Manage all tuition processes and policies;
- Create student payment plans with detailed credits and charges;
- Maintain relationships and communication channels with families regarding their payment plans;
- Administer incidental billing of student-based invoices using FACTS and Blackbaud;
- Implement and execute collection policies. Ensure maximum collection rates, run delinquency reports, and make weekly follow-up collection calls;
- Implement year-to-year rollover and account updates.
Financial Aid and Scholarship
- Maintain data-tracking systems for financial aid and scholarship data;
- Oversee the grant & aid application process for families;
- Facilitate financial aid scholarship and grant decision-making;
- Oversee the award notification or denial process;
- Maintain the Tuition and Financial Aid pages of the school website;
- Attend two Open House Events for incoming students every fall.
School Budget Development and Performance Monitoring
- Provide data to assist in developing the school’s annual budget;
- Provide data to the Director of Finance for School Board of Directors Meetings;
- Assist in assessing current and projected revenue needs;
- Identifies key financial tendencies related to the school's financial performance.
Scholarship Program Management
In conjunction with the Advancement Team, the Tuition and Financial Aid Manager works to maintain relationships with outside funding organizations and find support for eligible students by identifying additional scholarship resources.
Admissions
The Tuition and Financial Aid Manager works closely with the Admissions Team to support the registration of newly enrolled students. Financial Aid deadlines, tuition, registration policies, and website updates must be closely coordinated with the Admissions Team.
Finance Department Responsibilities
As a member of the finance department, ensure the separation of fiscal duties by depositing checks and cash collected at school into the appropriate bank accounts. Provide reports and data for the annual audit.
Qualifications and Competencies
Education & Experience
- Possession of a Bachelor’s Degree, preferably in Accounting, Finance, Business Administration, or a related field;
- 3–5 years of professional experience in financial management, billing, or accounts receivable. Previous experience within a private or Catholic educational setting or a non-profit organization is highly preferred.
Technical Skills
- Advanced proficiency in Microsoft Excel, including data analysis, financial modeling, VLOOKUPs, and pivot tables;
- Ability to utilize or quickly master tuition management software such as Blackbaud.

- Demonstrated ability to manage accounts receivable and enforce school tuition policies with professionalism and confidence;
- Capability to navigate sensitive financial discussions with empathy, aligning with the pastoral mission of a Catholic institution;
- Experience in establishing and monitoring structured payment plans for families in need.
Financial Aid & Scholarship Administration
- Ability to oversee needs-based assessment processes and analyze financial verification data;
- Ensure all aid distribution complies with board policies, diocesan guidelines, and specific donor restrictions.
Data Integrity & Communication
- Maintain absolute discretion and confidentiality regarding family financial records;
- Collaborate with the Admissions, Leadership, and Finance teams to provide accurate revenue forecasting and aging reports.

Salary is commensurate with experience and education. Range will be $60,000-$65,000 per year.
