Field Trip Scheduler

Primary Purpose:

Assist with daily operation of the transportation department by scheduling and assigning drivers for field trips and coordinate field trips.  During route times, disburse cost statements, and answer phones.

 

Minimum Qualifications:

Education/Certification

  • High School diploma or GED (recognized by the Texas Education Agency or Regional Accrediting Agency) 
  • Clear and valid Texas commercial driver’s license (B-CDL) with Passenger (P) and School Bus (S) endorsements 
  • Safe driving record verified by Texas Department of Public Safety (meets and maintains liability coverage eligibility) 
  • Maintain current bus driver certification from TEA 
  • Shall be subject to testing for use of alcohol or controlled substances that violate law or federal regulations 
  • Bilingual (preferred) 
  • Candidates must have a satisfactory outcome of a fingerprinting background check. Non-refundable fee (approximately $50) paid by employee.

 

Knowledge/Skills:

  • Effective telephone and communication skills 
  • Ability to use a personal computer 
  • Ability to use Google Suite, Smart Tag, Smart Trips, Travel Tracker, and/or other computer programs the department uses 
  • Ability to receive and give verbal instructions effectively 
  • Proficient map reading skills 
  • Familiarity with Del Valle ISD

 

Experience:

  • One (1) year of school bus driver experience

Organization Management:

The Field Trip scheduler manages administrative, fiscal, and facilities functions responsibly through activities such as the following:

  • Serve as substitute bus driver. 
  • Maintain pertinent documentation and prepare various reports as required by state, District, or department.

 

Organization Improvement:

The Field Trip Scheduler provides Organization Improvement through the following: 

  • Drive a school bus as needed. 
  • High level of confidentiality required. 
  • Problem solving mindset and safety practices required at all times. 

 

Communication and Community Relations:

The Scheduler promotes a positive tone for school or community relations through activities such as the following:

  • Responsible for scheduling all field trips. 
  • Responsible for assigning drivers and buses for field trips. 
  • Ability to prepare invoices and send them to the appropriate campus or department.  
  • Ability to share invoices with the business office for proper budget transfer.
  • Ability to use a two-way radio. 
  • Ability to work cooperatively with directors, principals, coaches, teachers, and drivers. 
  • Disburse cost statements to different departments and/or organizations for field trips.
  • Answer incoming calls, take messages, and route them to appropriate staff. 
  • Answer incoming calls and handle questions and requests that fall within the level of responsibility. 
  • Responsible for backing up dispatchers and schedulers when needed. 
  • Be available to respond on weekends for field trip calls. 
  • Correct unsafe conditions in the work area and report any conditions that are not correctable to the supervisor immediately.

 

Professional Growth and Development

The Field Trip Scheduler provides professional growth and development through activities such as the following:

 

  • Assist in training of new drivers. 
  • Assist in In-services meeting training all drivers on field trips procedures and best practices. 
  • Provides a high level of customer service and trains the drivers to do the same.

The Scheduler exhibits qualities such as the following:

  • Daily attendance and punctuality at work are essential functions of the job. 
  • Follow established safety procedures and techniques to perform job duties, including lifting, climbing, etc. 
  • Commitment to working well with others and maintaining an effective working relationship with co-workers, supervisors, school personnel, and the public.

  • Adheres to department procedures on confidentiality. 
  • Follows general guidelines and instructions established by the department supervisor. 
  • Correct unsafe conditions in the work area and report any conditions that are not correctable to the supervisor immediately. 
  • Ability to demonstrate the following core values: integrity, high expectations, commitment, respect, dedication to teamwork, and passion for a student-centered environment. 
  • Shall comply with District policies, as well as state and federal laws and regulations. 
  • Shall comply with the standards of conduct set out in Board Policy DH (Legal) and (Local) and with any other policies, regulations, and guidelines that impose duties, requirements, or standards. 
  • Perform any other duties as assigned by the administration. 
  • Perform other duties as assigned by supervisor

 

Supervisory Responsibilities:

None

 

Equipment:

Standard office equipment including computer and peripherals; two-way radio; global positioning system (GPS); Smart Tag; school bus; safety equipment including but not limited to flares, reflective signs, and fire extinguisher.

 

Working Conditions:
Mental Demands/Physical Demands/Environmental Factors:

  • Prolonged sitting; frequent standing and twisting; occasional kneeling/squatting, bending, stooping, and pushing/pulling 
  • Repetitive hand motions; frequent keyboarding and use of mouse; prolonged driving; moderate walking, climbing stairs, grasping/squeezing, wrist flexion/extension, and reaching 
  • Limited light lifting and carrying (less than 15 pounds) on a daily basis 
  • Frequent exposure to extreme hot and cold temperatures, noise, and vehicle fumes; work early shift; may work irregular and prolonged hours 
  • Maintain emotional control under stress 
  • Multitasking during high-pressure times (route times)
