Job Summary:

 

To provide high-level administrative and data support to the Director of School Achievement and Success. This role acts as the Office Manager for the team, coordinating key administrative functions including budget tracking, purchasing, and managing the Director's calendar. The position also provides critical support for the district's assessment and accountability systems by managing testing materials, assisting with student data (Assessment, Section 504, school choice, etc.), and helping to gather and organize information and data to support the team’s goals.

Essential Duties and Responsibilities:

  • Work in the capacity of an Office Manager for the School Achievement and Success Team.
  • Work closely with the Director of School Achievement and Success in meeting deadlines and generating required reports.
  • Manage and maintain the Director's calendar, including scheduling appointments, meetings, and events.
  • Maintain and balance budgets assigned to the School Achievement and Success Team.
  • Generate purchase requisitions as approved and requested by the Director of the School Achievement and Success Team.
  • Process purchase orders by obtaining signatures for items received and submit with invoice for payment to the district Finance Team.
  • Work with the district Finance Team to ensure the correct posting of account numbers and payments.
  • Provide required documents to the Public Education Department (PED) on a timely basis as needed.
  • Order, manage, inventory, and coordinate the logistics of secure testing materials for district and state assessments.
  • Train and support school staff in the effective use and procedures of testing portals.
  • Assist with troubleshooting student computer testing issues.
  • Problem solves unique student testing issues.
  • Assist with in-person assessment training to School Test Coordinators throughout the school year.
  • Liaison between school sites and testing portal vendors.
  • Train school staff in procedures and accurate use of testing.
  • Assist with the management of testing platforms and portals.
  • Support school staff in use of testing portals.
  • Assist with collecting, processing, and documenting school choice applications for in-district elementary transfers.
  • Assist with entering, tracking, and maintaining student data and plans related to Section 504.
  • Assist with data collection and collaboration between schools and district teams, as well as outside data sources.
  • Collect, and assist with the dissemination of student attendance data.
  • Gather and organize data.
  • Assist with analyzing data.
  • Provide support for School Counselors, Student Success Advisors, and SEL Specialists as needed.
  • Any other duties assigned by the Director of School Achievement and Success

Special Knowledge/ Skills:

  • Ability to maintain and balance a budget
  • Working knowledge of code functions as per School Budget Planning Unit Chart of Accounts
  • High proficiency with Microsoft Office Suite (Word, Excel, Outlook) and strong comfort level learning new software (e.g., student information systems, district financial software, and testing portals).

Machines, Tools, and Equipment 

Must know how to properly operate, or be willing to learn to operate, multi-media equipment including current t technology as needed. (Various machines and equipment including but not limited to computer, iPad, printer, scanner, copier, etc.)

 

Safety and Health 

Knowledge of universal hygiene precautions (blood-borne pathogens, body fluids, etc.)

  • Adaptability to perform required tasks in a complex office operation with multiple demands from several sources.
  • Requires the ability to read a variety of correspondence, reports, forms, statements, etc.
  • Requires the ability to prepare correspondence, reports, forms, evaluations, statements, etc. using prescribed formats.
  • Requires the ability to apply principles of logical or scientific thinking to define problems, collect data, establish facts, and draw valid conclusions; to interpret an extensive variety of technical instructions in mathematical or diagrammatic form.
  • Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently in a variety of technical or professional languages including insurance, personnel, and governmental terminology.
  • Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with emergency situations.

 

Physical Requirements

Walking, standing, sitting, bending, kneeling and squatting, climbing stairs, speaking and listening, reaching with hands and arms, having full mobility of fingers/hands to finger, handle or feel, close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus, carrying, lifting, and moving up to 25 pounds and/or moving light furniture may be required.

Working Conditions 

Mental Demands/Physical Demands/Environmental Factors:

  1. Maintain emotional control under stress, work with frequent interruptions.
  2. Some districtwide and statewide travel.
  3. Occasional, prolonged, and irregular working hours.

 

Work Environment 

Must be able to work within various degrees of noise and temperature. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision.? After-hours work may be required. May make site visits as needed. May work under stressful conditions on occasion. 

 

 

Evaluation 

The performance of this job will be evaluated in accordance with the provisions of the Board of Education’s policy on evaluation of administrative personnel.

 

 

 

Language Skills:

  • Knowledge of English grammar and mechanics, narrative, and report writing.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of people.

Reasoning Skills:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
