GENERAL STATEMENT OF JOB FUNCTION:

Provides leadership and management of the Registrar’s Office.

ESSENTIAL FUNCTIONS – Incoming Student Admissions and Enrollment:

1. Manages and directs the functions and staff of the Registrar's Office according to professional standards published by AACRAO and appropriate federal and state agencies.

2. Delivers course schedules, produce degree program worksheets, and secures staffing for all courses from division/department chairs for all campuses.

3. Collaborates with department directors to produce billable hour goals that meet institutional needs.

4. Provides oversight of academic records development and maintenance of CampusVue.

5. Develops and manages reports and infrastructure that support department and institutional goals, including enrollment reports, graduation statistics, registration process, and degree audit.

6. Ensures compliance for transfer credit, advanced standing, graduation evaluations, academic progress, and accreditation. Assists seminary departments in ensuring the accuracy of their program requirements. Ensures timely entry of grades by faculty. Oversees and regulate academic practices produced, so they are compliant with the guidelines provided by ATS and HLC.

7. Establishes and ensures the maintenance of records management systems, which provide accurate, accessible, and timely data to the Seminary, state and federal agencies, and accrediting associations. Develops processes to accurately record, store, and use accumulated records and credentials to ensure security, confidentiality, and protection of student records. Adheres to federal and state laws and guidelines, FERPA, state regulations, and program audit guidelines. Administers and interpret federal and state policies and procedures.

8. Provides oversight for the creation of and implementation of school policy and student appeals. Serves as a member of the Educational Policies Committee.

SECONDARY FUNCTIONS:

· As part of the Office of Academic Affairs, provides leadership for developing and implementing student support systems as they pertain to registration, advising, and retention within the Seminary.

· Ensures appropriate participation among staff during the development and review of enrollment goals, policies, and procedures related to the Seminary's vision and mission.

· Serves as editor of the annual academic catalog. Develops and maintain departmental webpages.

· Works with seminary committees as assigned.

· Actively participates in any legal proceedings involving Denver Seminary as requested. This may involve employee and or student interactions.

EDUCATION/TRAINING:

· The successful candidate will possess a master's degree in higher education administration, or related field.

· The individual must have a minimum of five (5) years of related registrar work and supervisory experience.

· Experience with CampusVue, ATS (The Association of Theological Schools), and HLC (Higher Learning Commission) are desirable.

QUALIFICATIONS:

  • Committed personal relationship with Jesus Christ required and a lifestyle consistent with the Seminary’s Community Values and Behavioral Commitments.

· Agreement with Denver Seminary’s statement of faith.

· Attention to Detail: Close attention to detail for maintaining records, compiling files, data input, and responding to inquiries with accurate information.

· Reading/Writing/Math: Complex reading and writing for reviewing and editing forms and annual publications; preparation of correspondence and reports. Math required for statistical report compilations. Excellent writing skills for both external and internal constituencies.

· Judgment/Decision Making: Ability to prioritize work. Respond proactively by anticipating the needs and demands of the office.

· Verbal Communication Skills: Frequent and essential, with the ability to quickly organize and communicate thoughts and understand others' communication. Ability to interpret and communicate regulations, standards, and policies.

· Emotional Intelligence: The capability to be aware of one’s own emotions and others' emotions to manage the emotional and social climate of the office. Ability to foster cooperation and teamwork among staff and faculty and to make students feel supported.

· Planning: The ability to manage multiple projects and meet deadlines.

· Transferable skills: Ability to take what one knows and apply it to what one does not know.

· Experience in registration and records and a thorough understanding of generally accepted academic policies and procedures required.

· Work experience should include a record of creativity, innovation, initiative, and successful development of staff.

· The exceptional candidate will cultivate and convey a collaborative management style.

· A strategic plan for increasing billable hours and continually improving student registration, advising, and retention.

· Development of an adaptable office team with clear responsibilities and roles, and cross‐training where appropriate to better serve students.

· Student issues or problems are resolved in a timely and professional manner.

· All student records, class schedules, and registration materials are prepared and completed satisfactorily, on time, and in accordance with guidelines set by our accrediting bodies.

· Effective, continually improving processes, policies, and procedures to enhance the student experience.

· All federal and state reporting requirements are met on time.

· Students receive timely communication concerning graduation requirements.

· Staff receives supervision, direction, and professional development.

TYPICAL PHYSICAL DEMANDS AND WORKING CONDITIONS:

Normal office working conditions including computer usage may require occasional standing, walking, long periods of sitting, climb stairs, balance; stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds.

Pay: $55,536.00 - $81,618.00 per year
