Job Purpose

Acts as Executive Assistant to the Executive Director of Education and Community Engagement including scheduling, correspondence, and creation of support materials.

Direct administrative support of the Director of Business Operations in management of accounts payable and receivable, payroll assistance, expense reporting, and management of contracts and vendor agreements.

Manage the day-to-day operations of the Education and Community Engagement Department including department communications, office space and supplies and acting as cross- department administrative liaison. Provide additional administrative assistance to the Director level staff and Program Managers - Director of Education and Curriculum Management and Director of Community Engagement

This position oversees accounts payable, tracking and reporting of departmental wide impact and engagement.

Duties And Responsibilities

  • Manage the organization and every day operations of the Education and Community Engagement Department in partnership with the Director of Business Operations, Registrar and On Site Class Manager, including classes, meetings, events, inventory, and spaces – 14 classroom studios and one theatre.
  • Executive Assistant to the Executive Director of Education and Community Engagement including scheduling, correspondence, expense tracking and reporting, and creation of support materials including reports for DCPA Board of Directors.
  • Support Education and Community Engagement program administration including Shakespeare in the Parking Lot
  • Collaborate with cross-functional internal working groups including Marketing, Theatre Company, Broadway and Education and Community Engagement divisions in support of Executive Director and EDUC&CE Department
  • Support Director of Business Operations in management and coordination of:
    • Accounts payable including creation and management of contracts, communication with vendors, and expense reporting for credit card charges and other payments.
    • Accounts receivable including invoicing and payment tracking for In School programming.
    • Hiring paperwork and onboarding of part time staff and payroll back up.
    • Budget tracking and expense reporting – monthly, quarterly, and annual.
    • RAMP mileage and expense support for full faculty and staff including part-time
  • Additional administrative support of Director of Education and Curriculum Management and Director of Community Engagement including floor and event management
  • Support Program Managers in administrative deliverables and in Tessitura for engagement tracking and invoices
  • Manage all Education and Community Engagement program participation numbers and assessment. Work with Program Managers and Registrar/ On Site Class Manager to gather numbers and create department monthly, quarterly, and annual reporting.
  • Manage studio space use by outside groups including other internal DCPA departments, community groups and area non-profits approved to use the space. Coordinate and provide all Education class and event schedules with Newman Front desk, Security and DCPA as a whole
  • Staff Education and Community Engagement front desk during regular office hours in partnership with Registrar and On Site Class Manager, including answering the department’s main phone line and welcoming guests.
  • Manage department supplies and oversee ordering and maintenance of inventory including the Jones Library collection
  • House Management for 3 rd floor studios and Weeks Conservatory Theatre for external events.
  • Collaborate with Security to welcome guests and patrons for programs and special events.
  • In partnership with Director or Business Operations and Education Technical Director, oversee maintenance needs and requests for all Education and Community Engagement spaces including maintenance requests to Facilities for custodial, engineering, and HVAC.
  • Represent DCPA Education and Community Engagement at career fairs and event tables.
Qualifications

  • Bachelor degree required. B.A. in theatre, arts management, business, education or related field helpful but not required.
  • Minimum of 3 years professional experience in theatre, education, business, office management or administration required.
  • Strong organizational, written and verbal skills required.
  • Advanced computer skills in Microsoft Office products necessary, Excel in particular
  • Experience with Adobe Creative Suite helpful but not required
  • Previous administrative support role preferred.
  • Strong customer service, house management and people skills
  • Exceptional phone etiquette
  • Strong self-started, able to work and complete tasks without direct supervision
  • Multi-tasking skills, able to be flexible and available for unexpected tasks

Physical Requirements

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to handle or feel; and reach with hands and arms. . The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus. The noise level in the work environment is usually moderate but, in some settings, can be loud. Job occasionally requires lifting, bending and climbing stairs.

Compensation

$60,000.00 - $67,000.00 annually

The DCPA is located in Denver, CO and all roles are based at our on-site location: 1101 13th Street, Denver, CO 80204. Some roles at the DCPA may be eligible for hybrid work options. More information is available through the interview process.

Salary : $60,000 - $67,000
