Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems, directing calls efficiently and professionally while providing excellent customer support.
  • Handle all front desk duties including answering inquiries, scheduling appointments, and managing visitor sign-in procedures.
  • Maintain organized filing systems, perform data entry tasks, and ensure all documents are accurate through proofreading and careful record-keeping.
  • Support office management tasks such as calendar management, scheduling meetings, and coordinating appointments using Google Workspace or Microsoft Office tools.
  • Assist with clerical duties including filing, photocopying, proofreading correspondence, and managing incoming/outgoing mail.
  • Perform basic bookkeeping functions using QuickBooks or similar software to support financial recordkeeping.
  • Ensure phone etiquette standards are upheld at all times and provide exceptional customer service to internal teams and external clients.
  • Support administrative projects as needed, demonstrating strong organizational skills and time management to meet deadlines efficiently.

Experience

  • Prior office experience or administrative experience is required; familiarity with front desk operations is highly preferred.
  • Proven ability to manage multi-line phone systems with professionalism and courtesy.
  • Bilingual skills are a plus for supporting diverse client needs.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools.
  • Experience with clerical tasks such as filing, proofreading, calendar management, and document preparation is essential.
  • Knowledge of office management best practices including organization skills, time management, and prioritization techniques.
  • Previous roles such as receptionist, medical receptionist or dental receptionist are advantageous; personal assistant experience is also valuable.
